Present: Tony Guillen, Lisa Unger, Katie Sherron, Nancy Stedman, Felton Wright, Amanda Hudson, Herb Wills, Tom Perkins, Ann Bowman, Cole Tessier, David Yon, Jay Silvanima, Bill Lott, Jeff Bowman, Eric Godin, Jon Manry

Tony Guillen called the meeting to order at 7:30 p.m.  Quorum was established.

The board reviewed the December minutes. The election results had been left out.  The election results were as follows: Tony Guillen- President, Lisa Unger- Vice President, Katie Sherron- Treausurer, Nancy Stedman- Secretary.  Directors at Large include Mike Burns, Tom Perkins, Herb Wills, David Yon, Cole Tessier, Amanda Hudson, Ann Bowman.

New Business:

David Yon – Turkey Trot wrap up.  There was $132,000 net proceeds, $81,000 in expenses, and a net of $51,307.  Approximately $10,000 was raised through the Turkey Trot heroes and Crowdrise fundraising efforts.  A motion was made that Refuge House, The Shelter, and the Boys & Girls Club each get $10,000 from the race proceeds.  The motion was seconded and approved.

 Jon Manry & Eric Godin – Discussion on proposed 2016 marathon course presentation.  The proposed course change is to start downtown, go through/around town, and finish at the Civic Center, if the logistics and budget are deemed feasible.  Benefitting charity will be Kids First Fund.  Preliminary budget to be presented next month.

David Yon – Nomination of Eric Godin for RRCA scholarship.  RRCA pays cost to attend annual RRCA function.  Motion made, seconded, and passed. 

Tony Guillen – Mention of need for Trail Coordinator position within the club due to formation of trail coalition by the City of Tallahassee.  Bobby York has expressed interest.

Herb Wills – Herb received an email from Leigh Davis of Leon County informing GWTC that a water fountain will be installed at the Thornton Road parking area of the Miccosukee Greenway.

Lisa Unger for Bobby York – Swamp Forest wrap up.  Lisa reported that, estimated expenses were $4,882.50, and with a $500.00 donation, the net proceeds of the event was $1,282.50.  177 registered, 158 completed one of the distances.  Runners came from near and far.  Final report will be presented next month.

Felton Wright for Mark Priddy – Felton presented the proposed budget for the 2015 GWTC Flash 12k /6k budget.  Projected expenses of $3,465, projected net of $235 which will be split between the Chenoweth Fund and GWTC.

Old Business:

David Yon – South City accounting of funds review due to two identical donation checks mistakenly being issued and cashed.  Discussion with Courtney Adkins of Whole Child Leon, which administers the South City Multi-sport program, reveals they did not realize they had inadvertently been given two identical checks (in addition to half of the proceeds from the Palace Saloon 5k), all of which was spent on the South City Multi-sport program, that they had set a check aside from Whole Child Leon to repay the amount of approximately $2,600 should GWTC request that, and that they are operating the program but are in a budget deficit situation currently.  There was a motion made to not seek reimbursement of the mistakenly made donation.  Motion was seconded and passed, with one abstaining from the vote.

Upon further discussion, there was a motion made that should the same program request funding  again during 2015, apart from half of the proceeds of the Palace Saloon 5k, that request would be denied.  Motion was seconded and approved.

Treasurer’s Report – Katie Sherron

 

There is $115,566 in the Club’s Operating account that includes $25,965 reserved for asset replacement. There is $17,048 in the Events 1 account, $20,458 in the Events 2 account, $50,351 in the Investment account, $11,216 in the Chenoweth account, and $10,999 in the Tri Club account. This represents a total of $214,639 spread over six bank accounts.

Membership Report – Nancy Stedman for Mark Priddy  
GWTC ended 2014 with 1804 members in 881 households.  Current GWTC membership is 926 members.  The Tri Club membership ending in 2014 was 353 members.  Tri Club membership is currently 188 members.  The renewal rates are normal for mid January.

Race Director Coordinator Report – Charlie Yates 
No report.

Newsletter Report – Nancy Stedman for Fred Deckert
Nothing new to report.

Clothing Coordinator Report – Abe Middleton
No report.

Equipment Report – Vicky Droze & Bill Lott
Nothing new to report.

Website Committee Report – David Yon
The possible creation and use of gulfwind.org email addresses is being looked into.

Chenoweth Fund Report – David Yon
Nothing new to report.

Triathlete Report – Jeff Bowman
There are new tri kits in the works.  The Tri Club had their annual party and awards last month.  Their board meeting is next Monday, January 19th.

Lecture Series Report – Nancy Stedman for Paul Guyas
A panel event will be coming up soon, but there are some scheduling issues.  It may have to be later in February or in March.  Also considering running movies to show.

Training Report – Beth Alexander
No report.  However, Amanda Hudson notes that the Springtime training group starts on January 26th.

Social Report – Eric Godin
The January social will be watching this Sunday’s NFC Championship game at Momo’s on Market Street.  Eric mentions Kathy Lindsay reports 250 – 300 members were at the holiday party.  Both the venue and band received good reviews.  Both have been reserved for next December.

Other:
Felton Wright – Discussion of the awards ceremony and should Goodwood be reserved again for that event in January 2016.  Motion was made to reserve it with exact date to be determined, seconded, and passed.
