of the September 12, 2012 Board Meeting Hosted by Mary Jean and David Yon

Present: Felton Wright, Lisa Unger, Bill Lott, Jackie McDaniel, Nancy Stedman, Charlie Yates, Tom Perkins, Elizabeth Stupi, Jerry Chesnutt, Mark Priddy, Jeanne O’Kon, David Yon, Mary Jean Yon, Chuck Davis, Judy Alexander, and Leigh Davis

Judy Alexander called the meeting to order at 7:31 p.m. Quorum was established.

The Board reviewed the June minutes. A motion was made, seconded and passed to accept the minutes as presented.

New Business

Leigh Davis – After being introduced by Judy Alexander, Leigh thanked the Board for the Club’s support and investment in the creation of the Apalachee Regional Park (ARP). As part of the Blueprint 2000 plan and with the financial support of Blueprint 2000 and community partnerships, some of the county parks are undergoing upgrades. The Miccosukee Greenway will soon undergo phase II of the oyster shell paving project which will reach from Thornton Road to Crump Road. Water sources will be installed at Fleischman Road and Crump Road. The Alford Greenway trails are being assessed to determine what can be done to further improve usage. The Alford Loop is being reassessed to determine if it needs to be realigned. Plans for the Fred George Basin Greenway include a ball field and a museum. The St. Marks Headwaters Greenway, to be located off of Benjamin Chaires Road and Buck Lake Road, will include trails and greenways and may have athletic fields. The ARP trails will be widened to 10 meters in order to comply with NCAA meet requirements. Also, the Proctor property has been purchased and is ready for development.

Jeanne O’Kon – Jeanne presented the slate of races for the 2013 Grand Prix (GP) Series. A motion was made to approve the list. The motion was seconded and approved. Jeanne also provided a copy of the revision to GWTC Policy Statement 2008-1 which now includes the following: …“GWTC members age 80 or over must compete in and complete at least two Grand Prix races to be eligible for awards. Participants do not have to score in the races to be eligible for year-end awards.” Jeanne also suggested changing the insurance requirement for non-club races to be increased from $500,000 to $1million. It was also suggested that GWTC be made an “additional insured” on the race’s insurance policy. A motion was made to require all non-club races to show proof of insurance to the GP Committee in the amount of $1 million effective for 2013 races. The proof of insurance must be provided at least 90 days ahead of the scheduled race date. The motion was seconded and approved

Tom Perkins – Tom gave a wrap-up of the Miller Landing Madness races. Almost 600 runners attended. A net profit of $1,287.63 will be donated to the Chenoweth Fund.

David Yon – David presented a proposed budget on behalf of Jeff Nielsen for the upcoming Prefontaine 5k. A motion was made to approve the budget, seconded, and approved.

Judy Alexander – On behalf of several runners, Judy presented a request for funding in the amount of $600 for the purchase of a pull up bar to be located at Forestmeadows. There was not a motion to approve. Judy also brought to the Board’s attention the need to revise the running fees charged to GWTC organized running/training groups so that all groups are paying the same amounts. A motion was made to create a policy which will provide the same fee structure for all GWTC organized running groups. The motion was seconded and approved. David Yon will assist in creating the written policy. This policy does not pertain to Interval workouts.

Mary Jean Yon – Mary Jean presented a preliminary list of candidates for the 2013 Board. She stated that the Elections Committee will enclose self-addressed stamped envelopes with the ballots when mailed to members. Additional nominations are being accepted through September 30, 2012.

Felton Wright – Felton received a request from a Club member requesting the Club pay to recertify the Sickle Cell race course. After some discussion, it was decided to table this request and discuss again next month.

David Yon – As part of an Eagle Scout project, Nick Dietrich cleared out an area and created a trail off the main Lake Overstreet trail near the power lines which will allow runners and walkers the opportunity to stay on the trail and out of the open area. David was contacted by Nick asking if the Club would support the project by donating $200 to cover the costs of materials used for the project. A motion was made to approve the request for $200, seconded, and approved.

Treasurer’s Report – Jerry Chesnutt
There is $54,805 in the Club’s checking account with $5,906 of that belonging to the Tri Club and $1,386 is in the equipment reserve fund. There is an additional $49,851 invested. The Chenoweth fund has $12,414. Jerry presented a proposed budget for 2012. After discussion among board members, Jerry will include more revenue information and present it to the Board next month.

Membership Report – Mark Priddy
Mark reported 1824 members which is 109 more than last month in 1,040 households, an increase of 87 over last month.

Race Director Coordinator Report – Charlie Yates
2013 already looks to be a busy year for races. Charlie announced that FSU Track and Field associate head coach Harlis Meaders, is returning to UNC to be their Head Coach. He will be replaced by Ken Harnden.

Newsletter Report –Fred Deckert

Clothing Coordinator Report –Jackie McDaniel for Paula O’Neill
Paula emailed the following report: “I sold $331.00 worth of merchandise this past month.
I’m having Asics brand singlets screened and they should be done in about two weeks. I’m using the same design as the original order. I’ve selected the design for the jog bra and have enough interest in it to get it made. I should be getting samples in soon for sizing before orders are placed.

Equipment Report –Jackie McDaniel for Vicky Verano
Vicky emailed the following report: …” I’m waiting for a quote from Fast Signs to purchase 20 “race in progress” signs. Other than that things are progressing well. Of course thanks to Bill Lott for all his help.”

Triathlon Report –Jackie McDaniel for Bill Dillon
Bill emailed the following report: Club Membership – Club membership is currently at 328 members and growing. Club Bylaws and Elections – Upon receiving final approval from the Track Club the Tri Club bylaws are now in effect. The Club is currently accepting nominations of the 2013 calendar year. Nominations will close on Oct 1, 2012, at which time we provide the Track Club with the list of nominees to be mailed out along with the Track Club ballot. Speakers – At its August meeting, the club heard from Dr. Dan Van Durme, FSU College of Medicine. Dr. Van Durme spoken on hydration issues in endurance events. The September meeting, scheduled for Monday, September 17th, will hear from Seeley Gutierrez, Stephanie Weyant and Kiko Cintron who will speak about heat acclimatization.

Lecture Series Report – Nancy Stedman
An Adult CPR/AED Certification class is scheduled for GWTC members. The date is November 3, 2012, at 1:00 pm until 4:30 pm. The class will be held at the Red Cross, located at Easterwood Drive by Tom Brown Park. Up to 30 members must register through Nancy Stedman and pay the full fee for the class. The Club will reimburse the participant half of the cost of the class upon completion. Please contact Nancy Stedman for more information.

Training Report – Judy Alexander
Approximately 75 runners attended the Beginner Running Class the first night, 37 runners joined the second night, and an additional 12 runners joined the third night. The group is excited about the progress they are making.

Social Coordinator Report –Elizabeth Stupi
Elizabeth plans to organize an October social. More details to follow

There being no further business to discuss, a motion to adjourn was made, seconded and passed at 9:42 p.m.
