The meeting was called to order at 7:35 p.m. Quorum was established.

The board reviewed the June minutes. Motion to approve was made, seconded, and passed.

New Business:
Bobby York -Trail Series wrap up. Income & donations amounted to $11,997.62, expenses were $7961.70, net proceeds were $4,035.92. $1,000 will go to Friends of Our Parks, $1,000 will go to Tallahassee Mountain Bike Association, with the balance going into GWTC general funds.

Vicy Droze – Rental of equipment to for profit entities. After discussion, a motion was made that for entities that are in the business of profit from races, the equipment rental fee will be $500 and the deposit for them will be $500. Motion was seconded and passed.

David Yon – Medical/Emergency preparation, as per RRCA requirements. After discussion, motion was made to spend money on medical services to meet the requirement with the club paying out of general funds. Motion was seconded and passed.

David Yon – Turkey Trot Proposed Budget, etc. – Contribution for the 2014 Turkey Trot from Dept. Of Agriculture recently came in, in the amount of $5,000. Proposed to split this in half between Chenoweth Fund and general funds. Projected for the 2015 race: $115,00 revenue, $25,000 direct donations, expenses of $77,656,72, net proceeds of $37,343.28 not including the direct donations. After discussion, motion was made to approve the split of the unexpected 2014 proceeds and to approve the proposed 2015 budget. Motion seconded and passed.

Bill Lott – Miller Landing Madness Proposed Budget – Projected for the 2015 race is $2,000 income and $2091 in expenses, making the net income -$91. Many student runners admitted without charge. Motion was made to approve budget as proposed, seconded, and passed.

Bill Lott – Equipment Needs. Bill saw some canopy shelters on sale at half price of about $100 each; there were 4 left. The shelters would be for club use only, not for equipment rental. Motion was made to authorize Bill to purchase any if still there, seconded, and passed.

Katie Sherron – Presentation of the budget overview for fiscal year 2016 (July 2015 – June 2016). With estimated gross revenues of $412, 397 and estimated expenses of $378,218, the club net revenue for the FY would be $34,179. Motion was made to approve the budget as presented, seconded, and passed.

Katie Sherron – Investment Account. The balance has been the same for some time. Proposal is to shift enough money from Operations into it, in order to make it sufficient to cover the loss of equipment. Motion was made to approve transfer of funds, seconded, and passed.

Peg & Gary Griffin – Pine Run Proposed Budget. Estimates as presented at the meeting were revenue of $3,980, expenses of $2,350, and net proceeds of $1,630, which would be split between Tall timbers and GWTC. Motion to approve as presented was made, seconded, and passed. However, an error was brought to the Board’s attention the next day, which results in estimated proceeds of $1,230. The Board, by email, approved this amendment to the Pine Run budget.

Old Business:
David Yon – Update on issue with Active.com. Attempts have been made to reach them. GWTC has not heard back from their representative.

David Yon – Requirements for Training Groups per RRCA. To designate clearly which groups are sponsored by the GWTC, after discussion a motion was made that all training groups associated with GWTC would be renamed to include GWTC in their title. Motion was seconded and passed.

Reports:
Treasurer’s Report – Katie Sherron
Summary amounts are $63,708.74 in the Club’s Operating account, $2,669.96 in the Events 1 account, $8,187.97 in the Events 2 account, $50,351 in the Investment account, $10,100.69 in the Chenoweth account, and $10,915.85 in the Tri Club account, making Total Assets $145,934.21. Total liabilities & equity are $145,934.21.

Membership Report – Mark Priddy
Current GWTC membership is up 34 members from June at 1503 members in 791 households (up 23 from June).

Race Director Coordinator Report – Nancy Stedman for Charlie Yates
No report.

Newsletter Report – Nancy Stedman for Fred Deckert
Nothing new to report.

Clothing Coordinator Report – Jane Skalski
Slow time of the year, about $200 in clothing sold. Selling items at the Breakfast on the track. Singlets mostly sold out, shifting to items for cooler weather, such as hoodies.

Equipment Report – Bill Lott / Vicky Droze
Rentals going okay. One of the chronomixes broke. Repair and shipping is $100.09.

Website Committee Report – David Yon
Nothing new.

Chenoweth Fund Report – David Yon
Nothing new.

Triathlete Report – Ann Bowman for Jeff Bowman
Tri the Rez is being directed and put on by the FSU Tri Club, not the GW Tri Club. Election and awards procedures are being put into written form.

Lecture Series Report – Nancy Stedman for Paul Guyas

There will be an event at Orange Theory Fitness on 8/28. There may be an upcoming lecture with a chiropractor who has contacted the club. There will be a “How to use your Garmin,” talk at the start of the Turkey Trot training sessions.

Training Report – Tracy Taylor
Roger Schmidt will be leading training sessions for Turkey Trot and for the Marathon. The El Jalisco runs will have a lecture every other Thursday. Request for up to $1,500 to cover having 53 signs made for the GWTC training groups along with acquisition of some more small coolers. Motion to approve request was made, seconded, and passed.

Social Report – Zack Scharlepp
The last social was a cookout after the Freedom Run at Wakulla Springs. August social is tennis at Winthrop park on Saturday 8/15. There will be a social associated with Turkey Trot training on 9/22 at the Edison facility in Cascades Park.

Trail Coordinator Report – Bobby York
The city just finished putting up QR codes at Phipps park. Money from the trail series will be utilized by the trail group for creating more parking at Gate A on Miller Landing Road.

Other:
Total cost of the SMIRF program was $4,200, which was less than what was budgeted for the program.
