GULF WINDS TRACK CLUB Minutes
for August 10, 2016, Hosted by Tony GuillenPresent: Board members for quorum: Tony Guillen, Felton Wright, Emma Spencer, David Yon, Judy Alexander, Tom Perkins, Herb Wills, Zack Scharlepp, Mark Priddy, Katie Sherron, Annie Bowman. Others: Bill Lott, Bobby York, Jim and Kristen Halley, Ron Harrison.
The President called the meeting to order at 7:29 p.m. Quorum was established.
The Board reviewed the July 2016 minutes, a motion was passed, seconded and minutes were approved.
New Business:
Tom Perkins –Tom presented the budget for the 2016 Miller Landing Madness 3K/5K/8K race. Total revenues are estimated to be $2,750, expenses are estimated to be $2,330, with anticipated net proceeds of $420. A motion to approve the budget was made, seconded and passed unanimously.
Ron Harrison/David Yon – Ron and David presented to the Board a revised GWTC waiver and participant release form to include triathlon related events such as biking and swimming events that are put on by GWTC or Gulf Winds Triathletes. This is not for insurance purposes, it is a participant release form only that is written for anyone who takes part in these activities. The aim is to put the release form onto Eventbrite so that those either signing up for memberships or events can sign easily and online. It will be at the discretion of Race Directors to include this waiver with their race registration forms. Following a few corrections and minor edits that will be conducted by David Yon, the Board made a motion to use this new form, was seconded and passed unanimously.
Tony Guillen – Tony presented for Lisa Unger to the Board, the budget for the 2016 Women’s Distance Festival 5K race. Following some calculation errors, it was decided that Tony needed to get back with Lisa to revise the budget and send back to the Board for a voting decision.
Kristen & Jim Halley –The Halley’s presented the final wrap up for the Summer Trail Series. They had 168 total participants for the full series and 30 other individuals who competed in individual events. They had a pizza party at the final race which everyone enjoyed. Final income generated from registrations was $9,710, with total expenses being $6144.80 (including Eventbrite fees), with net proceeds being greater than projected at $3,565.20. Proceeds are to be split 50% to GWTC, and the other 50% to be split between Tallahassee Mountain Biking Association and Friends of Our Trails, however, amounts are still being decided. The Halley’s also mentioned that they would like to maybe start a trail race team or reward people for taking part in GWTC trail races by providing team shirts similar to Tim Unger’s race team shirts, this is up for further discussion in next month’s meeting. Additionally, the issue of having EMS or dedicated medical professionals at the trail races is something that needs to be looked into for the following year as there was an issue of a participant overheating and some mix-up over how to provide care. Race directors will be advised that having EMS at their races should be part of their race plan for the future.

Treasurer’s Report –Katie Sherron
As of July 31, 2016, the summary accounts are, $34,254.52 in the Operations account, $2,120.18 for the Events 1 accounts, $4422.25 for the Events 2 account, $8,524.84 for the Triathlon account, $85,000 in the Invest and Reserve account and $13,944.72 in the Chenoweth Fund.
Membership Report –Mark Priddy
GWTC now has 1569 (1503 same time in 2015) members, an increase of 25 from last month, and household memberships were 817 (791 same time in 2015), up 13 from last month. The triathlon club has 255 members.
Race Director Coordinator Report – Charlie Yates
Nothing new to report, Charlie is recovering well from surgery.
Newsletter Report –Fred Deckert

Clothing Coordinator Report –Maggie Beshara
Nothing to report.
Equipment Report – Bill Lott & Vicky Droze
Nothing new to report, however, we still need to find an equipment manager to replace Vicky Droze. It was suggested to place a call out on social media detailing what the job entails with the hopes of finding a replacement.
Website Committee Report – David Yon
Nothing new to report, they are still working on the calendar.
Chenoweth Fund Report – David Yon

Triathlete Report – Ron Harrison
Race Recaps: Chattahoochee Challenge (Grand Prix Event) (Saturday, July 16, 2016).
Georgia Veterans Triathlon (Grand Prix Event) (Saturday, August 6, 2016). Club tent with refreshments/snacks, manned by Keith Rowe, good turnout and support for club members. The Grand Prix Results have been updated through Chattahoochee Challenge.
2017 Board of Directors nominations were sent out via special edition newsletter and Facebook updates on July 1, we are now accepting nominations via Google Form from July 1 through August 31. The nominations are for Treasurer, Secretary and three Directors-at-Large.
The newsletter went out to our members on Wednesday, August 10, 2016, included articles were, solicitation for 2017 Board of Director nominations and this month’s speaker, Barry Hartin, CEO of Southeastern School of Health Sciences. “Surviving Cardiac Arrest”, among other items that include the above race recaps and Grand Prix information. Other articles include the race, Sprint on the Flint, October 8, which is to replace the cancelled Tri the Rez, and Meet Your Board of Directors, Ron Harrison and the triathlete spotlight, Michelle Butler and Frank Allman. There will also be another DRC Sports Race Registration Giveaway, via drawing, for September 3rd Crystal River Triathlon Series #3 Sprint Triathlon, NOT a 2016 Grand Prix Event. The next Meeting will be Monday, August 15, 2016 at Momo’s Pizza in Killearn, on Market St. Social at 6:30 pm and Speaker at 7:00 pm. Speaker: Barry Hartin, CEO of Southeastern School of Health Sciences. SSHS opened in 1999 and offers continuing education for healthcare professionals plus entry level medical programs for those seeking to enter the healthcare field. SSHS is also an authorized American Heart Association Training Center. For more information, please visit the school’s website: www.southeasternschool.org. Topic: “Surviving Cardiac Arrest”, where you will learn what happens during cardiac arrest, how CPR helps, and how an AED can help. On Sunday 18th September, from 3:00-5:00 p, there will be a pre-IRONMAN Chattanooga/Augusta bike cleaning, lubrication and social at the Southern Public House.
Lecture Series Report –Paul Guyas
Nothing new to report.
Training Report –Tracy Godin/David Yon
David mentioned that he had spoken with Tracy regarding the Turkey Trot training group, this group is scheduled to start training in September. Furthermore, Chica will start the beginning running training groups soon.
Social Report –Zack Scharlepp
The next social will be to watch the men’s Olympic 10,000 meter final at 7pm Saturday 13th August 2016, at Northside Pies, pizza will be provided by GWTC.
Trail Coordinator Report –Bobby York
Registration for Swamp Forest will open September 1st. Bobby also wanted to suggest that Jim Halley transition into his position as Trail Coordinator. A motion was made by the Board to remove Bobby as coordinator and replace with Jim Halley, it was seconded and approved by the Board. Jim Halley as of next Board meeting will be the new Trail Coordinator, everyone thanked Bobby for his service.
Other Business:
David Yon – Two companies have approached him with regards to providing sponsorship money for the Club and Club races. The Gulf Winds Credit Union are thinking about potentially providing $10,000 in sponsorship money and are looking for a year round association with the Club, and want to participate in events, for example by providing volunteers. Body Track also are thinking of possibly providing some sort of sponsorship. David will report back once he has more information.
