GULF WINDS TRACK CLUB Minutes

Voting Members Present: Jerry McDaniel, Allen Blay, Jeanne O’Kon, Peg Griffin, Tom Perkins, Mary Jean Yon, David Yon, Debbie Peters, Emily Webster, Hawthorne Hay, Tina Bahmer, Mark Priddy, Herb Wills. Voting Members Absent: Matt Vermeer. Non-Voting Members Present: Bill Lott, Mark Tombrink (by phone).

I. Opening and Introduction: Jerry McDaniel called the meeting to order at 7:00 p.m. The minutes from the November 12, 2025 meeting were approved as written.

II. Announcements from Officers: None.

III. Old Business/Race Closeouts:

a. Extreme Challenge: Mark Tombrink requested an extension of the Extreme Challenge program for an additional year. Motion was made to approve $300 for this program for the coming year. Motion was seconded and passed.

b.. Alford Greenway Committee: Hawthorne Hay reported the recent meeting was held at the Eastside Library, The plans being reviewed were a consolidation of the plans already created. It was designed for public input and to allow the public to ask questions.

c. Meeting Hosts: Jerry encouraged Board members to sign up to host a Board meeting in 2026.

IV: New Business:

a. Flash 12K/6K Proposed Budget: Peg presented the 2026 Flash 12K/6K budget on behalf of Rob Klepper. Rob is anticipating revenue of $4,755 and expenses of $4,740, for a net profit of $15. A motion was made and seconded to approve the proposed budget, and it passed unanimously.

b. Timing Training: There is a Timing Training workshop taking place in Tampa, and Jerry asked for support for David Landis to attend. A motion was made and seconded to support this travel expense for David. Motion passed.

V. Reports:

a. Treasurer’s Report: Peg reported assets as of November 30 in the amount of $339,249, with liabilities of $352. There is $237,862 in the Operations account, with $14,446 reserved for the ACT Grant program. Net income as of November 30 is $23,034. Peg reminded the Board that as of January 1, Carl Nordhielm will assume the role of treasurer, and asked members to update their email contact lists accordingly. All treasurer-related email should be sent to the GWTC Treasurer at treasurer@gulfwinds.org.

b. Triathlete Club: Tina reported that Joanne Maltese is the new president of the Tri Club.

c. Director of Race Directors: Mary Jean Yon reported on the 2025 Tallahassee Turkey Trot which was a big success. A total of 6,594 people registered for the event and of that, 5,965 people finished one of the four races. Both numbers marked an increase from the 2024 race. Mary Jean & David plan to bring the final closeout for board approval at the January meeting. She also added that steady progress has been made on the updating of the Race Directors Handbook and it will be ready for sharing before the end of the year.

d. Director of Communications: The current membership numbers are: 1,421 memberships (1,390 in 2024); 914 are family memberships (760 in 2024).

e. Director of Education and Socials: Tina reported that there was a good turnout for the holiday party, despite the weather. Given Shiloh Farms was recently sold, there’s a need to find a new venue in the following years. Various venue options were discussed, as well as the dates to avoid a conflict with the Jingle Bell Run. Board members agreed having the event on a Sunday would avoid most conflicts. The awards ceremony will be held again at Goodwood Museum on Jan. 25 at 5:30.

f. RACER Committee: No report.

g. Chenoweth Fund: Nothing to report.

h. Merchandise: No report.

i. Equipment: Bill Lott reported that the flip-digit race clock that was sent off for repair has been returned. The total cost of the repair and shipping was $307.20. As reported at the last meeting, shipping and insuring costs totaled $275.84 to ship the clock Electro-Numerics in California. Also, the Chronomix that was sent to Seiko for repair has also been returned. However, the Chronomix could not be repaired due to parts no longer being available for that model. The PA System is still at PSG, Inc., for repair. Follow up will be made in the near future as to its status.

j. Chip Timing: In November, one non-Club race (Memorial to Memorial Veterans Day 5K) and one Club race (Tallahassee Turkey Trot 15K/10K/5K/1M) were chip timed. The three races scheduled to be chip timed in December are all Club races (GWTC 10M/5M Challenge; Tallahassee Ultra Distance Classic 50M/Bill Hillison 50K/Manatee Marathon; and Tannenbaum 6K). Only two races will be chip timed in January 2026 and those are both Club races (Swamp Forest Trail Quarter Marathon/Half Marathon/20M Challenge; and GWTC 30K/15K). Chip timing revenue received during the current fiscal year (July1 – November 30, 2025) from non-Club races totals $4,031.00, which is an increase of $751.00 from last month’s report.

k. Grand Prix: Lisa Unger reported that currently, there are 124 club members who have at least three qualifying races for the Grand Prix- 43 have recorded volunteer service, and 81 have not (65%). There are still opportunities to volunteer at the Ultra and the Tannenbaum races. After the Ultra, Lisa will continue to check the Grand Prix results and the verified volunteer list. The Grand Prix Committee is working on the plans for the Annual Awards meeting in January.

l. School Grants Coordinator: No report.

m. Training Groups Coordinator: Emily Webster reported that there are about 30 people participating in the Half-Marathon Training Group.
