Voting Members Present: Jerry McDaniel, Allen Blay, Jeanne O’Kon, Peg Griffin, Debbie Peters, Mary Jean Yon, David Yon, Tom Perkins, Mark Priddy, Matt Vermeer, Jennifer Hay, Emily Webster. Herb Wills. Voting Members Absent: Tina Bahmer, Hawthorne Hay. Non-Voting Members Present: Bill Lott, Lisa Unger, Jack McDermott, Mickey Moore, Geoffrey Adams.

I. Opening and Introduction:

Jerry McDaniel opened the meeting at 7:01 p.m. A motion was made to approve the minutes of the May 14, 2025 meeting. Motion was seconded and passed.

II. Announcements from Officers:

Jerry reported that Bank of America is confirmed as a Marathon sponsor for the Feb. 8, 2026 Marathon. The expo will be on Feb. 7. A photo shoot will be held with people modeling the available clothing items.

III. Old Business/Race Closeouts:

a. Great Potluck Bash 4-miler: Mary Jean Yon reported that there were 94 finishers. The revenue was $5370.54. Direct donations of $209.00 were made to the Chenoweth Fund. Additional revenue of $200 was generated through the raffle tickets. The total given to the Chenoweth Fund was $1,215.20. Almost all award winners were present. Motion was made and seconded to approve the budget closeout. Motion passed.

b. Fleet Foot Newsletter Editor: Jerry reported that no one has volunteered yet to take over this position. Someone will be paid to take over the job, with Robert Skrob supervising.

c. Summer Social July 19 at Momo’s (3-5 p.m.): Jerry indicated that the format used last year would not be repeated. He indicated that a member update will be provided, and then members can socialize. These topics will be discussed: the contribution to the ARP, the track at Holy Comforter, the web page, group runs, Youth Running, school grants, and the club’s philanthropy. Pizza will be provided. Board members are encouraged to invite runners and others involved in the running community.

d. Track at Holy Comforter School: The asphalt base has been poured at the track. Jerry met with staff at the school, and they indicated that it would be available only to GWTC members. Jerry will ask about allowing community use of the track. Stan Linton has also been promoting the opening of the local tracks for community use.

IV. New Business:

a. Tallahassee Ultradistance Classic 2025 Budget Proposal: Jack McDermott presented the budget proposal. They will use RunSignUp for registration instead of UltraSignUp. In the future, more people will probably run the marathon course. Jack increased the amount for awards for this year. There could be an increase in costs due to the tariffs and an increase in the cost of the deputies. Motion was made and seconded to approve the budget proposal. Motion passed.

b. GWTC 5K for Sickle Cell Anemia Budget Proposal: Peg presented the proposed budget with total revenue of $7859.30. Total expenses will amount to $6944.00 with an anticipated net revenue of $915.30. This will be split 50-50 with GWTC. Motion was made and seconded to approve the budget proposal. Motion passed.

c. Pine Run at Tall Timbers 20K 2025 Budget Proposal: Jennifer Hay presented the budget proposal. She indicated that a shorter course may also be added for rucking (walking with a weighted backpack). Last year’s net income was $805.00, and they retained similar numbers as last year’s budget. Motion was made and seconded to approve the budget proposal. Motion passed.

d. GWTC Podcast Proposal: Mickey Moore presented a proposal for a possible “I Run this Town” monthly podcast. Mickey indicated that he is a fundraiser for the Florida Sheriff’s Association and he serves on several boards. He had a previous podcast called Run, Life, Today. Health and wellness topics are popular podcast topics. Runners are a natural audience to listen when exercising. Runners, coaches, ultrarunners, vendors, local, regional, and national individuals could be interviewed. Other exercise topics (swimming, cycling) could also be addressed. The podcast would be available for listeners anytime. There is a $1500 setup fee and $750 monthly fee (per episode). Board members inquired as to whether having sponsors would help with the cost. This would also be a way of promoting GWTC races. Board members decided that some of them would meet with Dave Fiori to review exactly what would be needed for six monthly podcasts and the cost.

e. CPR Group Training: Jerry asked whether or not race directors or club members would like to participate in group training (11 people at a time). Jerry will contact Nancy Stedman about this.

f. Office of Greenways and Trails (DEP) tabling event: DEP is partnering with the Senior Center on Sept. 15 to educate people about the local outdoor recreation opportunities. Previous tabling events resulted in almost no new members, so GWTC board members decided not to participate this year.

g. Sponsorship for Medical Services for WDF: Lisa Unger was contacted by an organization that was previously Patients First. They offered to provide free first aid services for that race if they were allowed to set up a booth there. Most likely nurse practitioners and doctors would be providing the service, but Lisa will check on this. GWTC has an agreement with the County EMTs to be at club races.

V. Reports:

a. Treasurer’s Report: Peg reported that as of June 30, net assets are $316,194.92. Operations account has $213,700.63 with $14,000 in reserve for ACT. Net revenue for the fiscal year is $58,774.26. Peg presented next year’s budget, with only a few items changed from last year. The recurring expenses include the GWTC app at a cost of $150 a month (only 43 club members use this). The Board voted to discontinue the use of the GWTC app.
Jerry inquired about the cost of redesigning the web site. Jennifer explained how the cost of $11,000 would be used to update the website and its navigation. Jennifer will provide a proposal explaining how the website will be changed. Jennifer also reported the cost of printing magnets. She wants to use $5,000 in the budget to order a GWTC sign for the tent, postcards to hand out, a tablecloth, and an SMS package for texting messages out to club members. There is also a training amount of $1,000 in the budget, which covered the cost of a social and giveaways after the Turkey Trot and Half Marathon training groups in the past. Motion was made and seconded to approve the budget. Motion passed.

b. Triathlete Club: Matt Vermeer reported that 74 athletes participated in the Duathlon. They plan to do a mock open water swim.

c. Director of Race Directors: Mary Jean Yon reported she is still updating the Race Director’s Handbook, with Bill Lott’s help. She will schedule a race directors meeting in September or October.

d. Director of Communications: Jennifer plans to hold a tabling event at Summer Track. She is still working on the website design with Matt Hohmeister.

Membership Report: There are currently 1321 individual members (1280 last year at this time) and 753 family memberships (728 last year at this time).

e. Director of Education and Socials: No report.

f. RACER Committee: Danny Manausa sent a report stating that there will definitely be a fall program with kids. He has scheduled an August meeting with the IRC representative to set up the September program.

g. Chenoweth Fund: Mary Jean Yon reported that there is a request from Jake Atwood for his participation in the Nike Nationals for $1800.00. The committee agreed to give him $1,000.00 toward the expenses. Motion was made and seconded to approve this amount. Motion passed.

h. Merchandise: No report.

i. Equipment: Bill Lott reported that the batteries in the clock that quit working at Springtime have been replaced at a cost of $73.90. The batteries in one and maybe one other clock are nearing their normal lifespan and will likely need to be replaced in the near future. There are no other equipment issues to report at this time.

j. Chip Timing: Bill reported that during May, two non-Club races (Tails and Trails Half Marathon/10K/5K/1M; and NeSmith Way 5K) and one Club race (Summer Trail Series Race #1 – Oak Hammock), and during June, one non-Club race (Monticello Kiwanis Watermelon Run 5K) and two Club races (Great Potluck Bash 4M Prediction Run; and Summer Trail Series Race #2 – Redbug Trail) were chip timed. In July, one non-Club race (Kiwanis Firecracker 5K) and one Club race (Summer Trail Series Race #3 – Cadillac Trail) will be chip timed. Scheduled to be chip timed in August are one non-Club race (Tallahassee Beer Festival Beer Mile) and three Club races (Breakfast on the Track 1 Mile; Miller Landing Madness 8K/5K/3K; and Summer Trail Series Race #4 – Maclay Gardens State Park).

Chip timing revenue from non-Club races held since July 1, 2024, totals $8,995.00. Not included in the total is the revenue from the Monticello Kiwanis Watermelon Run 5K that is estimated will be in the $700.00 range.

k. Grand Prix: Lisa Unger reported that the Grand Prix application for the 2026 Grand Prix is available on the website. Other races can be suggested to the committee as long as the application is submitted. Lisa has reached out to previous non-club race directors without many results.

l. School Grants Coordinator: Jennifer spoke to Amy O’Kelley and they will brainstorm ways to better reach out to schools and reduce the red tape involved in giving out the funds.

m. Training Groups Coordinator: Emily Webster reported that the weather has been so extremely hot and there are fewer people participating in running groups right now.
