GULF WINDS TRACK CLUB Minutes

The meeting was called to order at 7:31 p.m. Quorum was established.
The board reviewed the April minutes. Nancy Stedman mentioned need for correction to the minutes where there was a typo for Operating Account, which should have appeared as $3,763. Motion to approve was made, seconded, and passed.
New Business:
Jay Silvanima – Request was made for the club to renew its membership with USATF, which requires $75 to renew. Motion was made to approve the expenditure, seconded, and approved.
Felton Wright – Proposed budget presented for Breakfast on the Track. Estimated income of $2,220, estimated expenses of $1,958.54, estimated net income of $261.46, to be split with Maclay Track Boosters. Motion was made to approve the budget as presented, seconded, and approved.
David Yon – Threats from Active.com, as they state they had contract to do the on line registration for the Springtime race for 3 years. After discussion, it was concluded that David will further review for board discussion later.
Tony Guillen – Change in Grand Prix committee. Felton Wright is rotating off the committee. Tony nominates Tsige Tadessee and makes motion for her to be the newest committee member. Motion is seconded and approved.
David Yon – Proposal for emergency services at club races. Discussion on having a contract with Leon County for emergency services at club races. After some discussion, further investigation of this is warranted. Board will be presented with proposal at a future date.
David Yon – Pot luck wrap up. Race went well, net revenue of approximately $1292 if the beer and food costs (about $600 each) are covered by the Social budget. Motion made to have the food & drink costs covered by the Socail budget, seconded, and approved.
Old Business:
Felton Wright – Update on how the SMIRF program is going. Attendance at the north side camp is 20 – 30 kids each day. Attendance at the south side camp is zero. The effort made for the south side camp will be abandoned at weeks end unless there is interest in it.
David Yon – Update on the T-Pal race. Due to excellent sponsorship commitments, the event was a successful fundraiser. Attendance wasn’t as good as the fundraising since it aligned with the first trail series race, but that will be avoided next year.
Reports:
Treasurer’s Report – Katie Sherron Summary amounts are $58,487 in the Club’s Operating account, $5,629 in the Events 1 account, $709 in the Events 2 account, $50,351 in the Investment account, $11,308 in the Chenoweth
account, and $10,793 in the Tri Club account. There is an Escrow Replacement figure of (38,373), making the Net Operating Account total $26,452. Katie mentions she will be unavailable in July and to contact Jerry Chesnutt or Vince Molosky regarding purchases. Discussion on the Escrow Replacement fund. Bill Lott to determine the amount needed to replace the equipment, which is what we want to eventually have in that fund.
Membership Report – Mark Priddy
Current GWTC membership is up 60 members from last month at 1469 members in 768 households. The Tri Club membership is currently 311 members.
Race Director Coordinator Report – Charlie Yates
No report.
Newsletter Report – Nancy Stedman for Fred Deckert
Nothing new to report.
Clothing Coordinator Report – Maggi Beshara
Doing very well, online store now open. New hats & visors shipping mid June.
Equipment Report – Bill Lott for Vicky Droze
Rentals going okay. Organization interested in swapping cones with us as they need cones that are more flexible than what they have. Vicky has set up meeting with these people.
Website Committee Report – David Yon
Nothing new, but photos are a nice feature on the opening page.
Chenoweth Fund Report – David Yon
The Potluck race is the only thing that happened with Chenoweth this past month.
Triathlete Report – Ann Bowman for Jeff Bowman
Speaker at next meeting is Roger from Higher Ground. New tri kits are in, some still available. Freedom Springs tri had a club social.
Lecture Series Report – Nancy Stedman for Paul Guyas
Working on setting up a CPR class. Price should be $30/person which is super cheap. Location/time/date to follow. Hoping to get it done in June. Also another “How To”… this time “How to Use Your Garmin (and its Data) for Better Training”
Training Report – Tracy Taylor
Trailblazers extending their sessions for an extra two weeks and will try to come back in the fall and be put on eventbrite. GW Goes Long also in the fall, possibly it and other groups also will utilize eventbrite. Motion made to make Winthrop Park Express, Wednesday Intervals, GW Goes Long, Tuesday Interval Groups into “official” GW training groups. After discussion, this was tabled until insurance requirements are looked into.
Social Report – Zack Scharlepp
The Liberty Bar social had an okay turn out for the short notice, about 20. The medal hunt is ongoing. Collecting ideas.
Trail Coordinator Report – Bobby York
Summer Trail Series race #1 was May 31. We had 158 participants. The second race is this Saturday at Phipps Park. The City completed work on the Swamp Forest Loop foot bridge the last week of May. The next project is to install QR Code markers on the hiking trails in Phipps Park.
