Voting Members Absent: Allen Blay, Mark Priddy, JoAnne Maltese, Tina Bahmer. Non-Voting Members Present: Bill Lott, Rob Klepper, Justin Varn, Harit Nori, Danny Manausa, John Baughman, Travis Crow, Lauren Stanley, Caitlin Ubilla.
I. Opening and Introduction:
Jerry McDaniel opened the meeting at 6:30 p.m. A motion was made to approve the minutes of the May 13, 2026 meeting. Motion was seconded and passed.
Justin Varn of Awards4U made a brief presentation about the items that GWTC race directors can order, including medals, t-shirts, socks, and other items. The store employees want to maintain a good relationship with GWTC, and Awards4U will compare bids and prices from other vendors to match the price or offer a lower price.
II. Announcements from Officers:
Mickey Moore indicated that future Board meetings can be held at the Florida Sheriff’s Association building at 2617 Mahan Drive near Riggins Road. Beer is permitted and they have a kitchen and bathrooms.
Jerry recently attended a meeting about the Orchard Pond Parkway. A trail is being built along the parkway.
Jerry stated that Bill and Kelli Dillon and Kory and Robert Skrob are attending RunSignUp training in Minnesota, and he asked for approval for the club to pay for their travel expenses. Motion was made and seconded. Motion passed.
III. Old Business/Race Closeouts:
- Race Director for the Ultra Distance Classic: John Baughman and Travis Crow indicated that they are willing to take over the Ultra as race They will direct the Ultra this year if approved. They have some innovative ideas about possible changes for the course. Motion was made and seconded to accept them as race directors. Motion passed.
- Privacy Agreement: A privacy statement was prepared by Bill Dillon at no cost to GWTC with minor edits from others and was circulated to the Board in advance of the meeting. A few minor tweaks to the policy will be put in place before finalizing and publishing on the club’s Upon motion and second, the Board approved the privacy statement.
- Flash 6K/12K Budget closeout: Rob Klepper reported the race had good attendance this year. Total revenue, including direct donations to CurePSP of $469, was $4,623.60, and expenses total $3,807.40, yielding a net revenue of $816.20. Rob asked that 50% of the net proceeds be shared with the advertised beneficiary, Second Harvest of the Big Bend. Due to an oversight, the beneficiary listed on the registration page was not changed from CurePSP to Second Harvest, so donations received will be sent to Cure PSP. Upon motion and second, the budget closeout was approved.
- Springtime 10K/5K/1m Budget closeout: Jerry reported 2041 registrants, a slight decrease from 2025. The new 5K course worked well and solved many ills from the previous TPD costs were waived this year due to a special waiver requested from the Springtime Jubilee organization wherein they included the race for the first time since GWTC has directed the race. Contribution to GWTC from net proceeds was very close to last year. Jerry reported revenue totaling $77,966.30, which includes two sponsor checks in the amount of $2,500 each that have not yet been received. Expenses total $42,788.67, for a net revenue of $35,177.63. Jerry and Jackie proposed that 12.5% of the race proceeds go to NAMI; 37.5% to Holy Comforter; and the remaining 50% to be retained by GWTC. Upon motion and second, the closeout was approved, with a contingency that beneficiary checks will not be mailed until the outstanding sponsorship checks are received.
- Palace Saloon 5K Budget Closeout: Bill Lott reported that the number of registrants was 2009 with 1736 finishers, slightly less than last He reported revenue of $61,381.40 and expenses totaling $26,112.87, for a net revenue of $35,268.53. Bill, Jeanne, and Tom propose that 25% of net revenue go to the Oasis Center for Women and Girls; 25% to the Norman Fixel Institute/University of Florida Foundation, and the remaining 50% to be retained by GWTC. Donations in the amount of $746.00 and $455.00 were received for the Oasis Center and Norman Fixel, respectively, and will be passed on to those beneficiaries along with the race proceeds. The Oasis Center for Women and Girls will receive $9600, and the Norman Fixel will receive $9300. Upon motion and second, the budget closeout was approved.
- Marathon/Hal f-marathon contract with RuntheTangents, LLC: Jerry McDaniel provided a copy of the contract to the Board in advance of the meeting. In accord with a motion from the May meeting, a committee was formed to negotiate the contract(Bill Dillon, Felton Wright, David Yon, Allen Blay, Judy Alexander, Jerry McDaniel). He reported that Bill Dillon worked on the development of the . Robert Skrob sent an update stating that all key committee chairs are confirmed; they have applied for USATF sanctioning; they are traveling to St Paul for RunSignUp training: they are reaching out to TPD for course approval; and Kory has achieved RRCA Certified RD status. Bill McGuire will help to certify the course. Kory is now a certified RRCA course measurement specialist. GWTC members will get a $10 discount for registration. Motion was made and seconded to approve the contract. Motion passed.
IV. New Business:
- Board assignments: Jerry asked for a motion to confirm Peg Griffin as Treasurer for the remainder of the year, and to confirm Carter Hay and Mary Jean Yon as Directors-at-Large to fill the current Motion was made and seconded. Motion passed. The USTAF position previously held by Jay Silvanima will be filled by Kory Skrob. Sarah Lester will replace Charles Kelly on Grand Prix Committee. Mike Schmitt is interested in becoming the equipment manager. Danny Manausa is leading the morning workouts to replace Gary Droze. Sherri Wise has resigned as Clothing Manager, and a replacement will be named.
- Breakfast on the Track 1m Budget proposal: Lauren Stanley reviewed the budget proposal. The gross profit is predicted to be $2750.00. The net profit is anticipated to be $561.00. Motion was made and seconded to approve the budget proposal. Motion passed.
- GWTC 5/10 Miler Budget Proposal: Lisa Unger presented the budget She expects the number of registrations will increase this year. She is attempting to decrease the cost of certain items. The net expenses are anticipated to be $2550.00. Motion was made and seconded to approve the budget proposal. Motion passed.
- Turkey Trot 15K/10K/5K/1m Budget proposal: Mary Jean presented the budget proposal. In 2026, they will celebrate the 50th anniversary of the They will make a “bigger splash” about the leadership team to emphasize that Danny and Allison Manausa will take over the race. Mary Jean expects to have more registration this year because the FSU-UF game is in Tallahassee on Friday after Thanksgiving. The three charities will remain the same with a four-way split of the revenue. Motion was made and seconded to approve the budget proposal. Motion passed.
- Miller Landing Madness 8K/5K/3K Budget proposal: All runners age 18 and under run free in this race. Bill Lott and Jeanne O’Kon reported that one additional cost this year is the 50% charge for the finisher medals from Awards4U (the medals have been provided free for the past few years). The City is also charging a user fee for the city park. The fee was reduced after Tom Perkins spoke to the City employees, but they also charge for trash removal and the presence of a City employee on site during the race. Motion was made and seconded to approve the budget proposal. Motion passed.
- Pine Run 20K Budget proposal: Carter Hay reported that he expects to have about 150 runners this year. The net income will be split between Tall Timbers and GWTC. Motion was made and seconded to approve the budget Motion passed. One suggestion was made about whether all the proceeds (including direct donations) could be donated to Tall Timbers because of the recent damage to the Beadel House one of their centers.
- Potential RRCA requirement for a music license: Lisa Unger reported that when there is music played at any of our races, the club is supposed to have a license for that through RRCA. There are four licensing companies available. Lisa will check with Bill Dillon and David Yon to clarify the legal requirement.
- GWTC Tablecloth Purchase: Mary Jean has an old GWTC tablecloth that needs to be replaced. She would like to purchase a new one with the club name/logo. Motion was made and seconded to approve this purchase. Motion passed.
Reports:
- Treasurer: Peg reported net assets as of May 31, 2026, totaling $387,400, and a net income of $ 83,597. She has reviewed all race closeouts that were approved by the Board since January 1, and corrected for the record the 30K/15K closeout (previously approved donations to the Chenoweth change from $125 to $267.00), and the 2026 marathon closeout (various changes to line items resulting in a $170 lower net income than originally reported). Mickey Moore Mickey Moore made a motion to move the invest and reserve account into an interest-bearing money market account at Capital City Bank. Motion was seconded and approved by the Board.
- Tri Club: No
- Director of Race Directors: Lisa Unger reported that the EMS service for the first Summer Trail Series and Potluck is complete; next up are the 2nd – 4th Summer Trail Series events. he reported that most race directors are using the dynamic bib assignment (Race Day App) and there are many other RunSignUp features that may help us be more effective race directors. Some GWTC members will be attending a RunSignUp University summit this summer, and sometime in August or September they will make appropriate arrangements for a presentation of what they learned for the other race directors. Lisa thanked Peg for renewing the GWTC FL State Sales tax Exemption certificate for the period 5/31/26 – 5/31/31. Club race directors were reminded that race/event purchases made with the tax-exempt certificate must be paid with club funds – check or credit/debit card. They were also reminded that race budgets need to be presented to and approved by the board before registration can open or expenditures can be made for each GWTC race. Race close-outs are also required to be presented as soon as possible after the conclusion of the race.
- Director of Communications: Mickey thanked the Board for supporting the podcast. The podcast is a volunteer effort, and Mickey is not receiving money for producing it. Ashton submitted a report regarding social media, and there is 33% growth in Instagram followers, and Facebook posts and emails have increased. People are reading them and getting the There has been increased activity on Strava. The first nine podcasts received a grade of A- with good audience growth and discoverability. It is growing steadily. The sponsorship form has been finalized for the podcast and Mickey will give it to the Board. Robert Skrob will assist with that.The current membership total is 1416 (1332 last year at this time), with 459 individual memberships (501 last year at this time) and 957 family memberships (831 last year at this time).
- Director of Education and Socials: No Mary Jean provided thanks for Tina’s support for the Potluck Bash. Jerry will hold the Town Hall meeting in late July, and he asked Board members to provide reports when it is held.
- RACER Committee: Danny Manausa asked for approval for a change in direction. There is $14,000 in their account since before Previously they worked with the International Rescue Committee with families from 50 different countries. The grant funds are not legally restricted. He has been working with Astoria Park Elementary (a Title One school), and he wondered if they could use some funds to train the children and pay their admission to the Turkey Trot. He would like to set up a program at Title One schools and will present a budget in September. Motion was made and seconded to approve this proposal. Motion passed. David mentioned that SMIRFS has been greatly successful so far this year.
- Chenoweth Fund: Nothing to report
- Merchandise: Sherri Wise is resigning from this She sent a report stating that there are many things left over to sell (including visors, magnets, and sunshades), and she ordered only shirts this year for $2,725.00. The current online vendor (Monogram Art) sales volume is too low and she is contemplating a new vendor. They sold shirts at Springtime Tallahassee in the amount of $1,002.47. They assisted the Marathon race directors in selling merchandise totaling $6018.00.
- Equipment: Bill Lott reported that the dead battery in a Chronomix was replaced at a cost of $5.99. There were no other equipment issues to report.
- Chip Timing: Bill Lott reported that in May, GWTC chip timed one non-Club race (St. Peter’s Anglican Cathedral Mother’s Day 5K/1M) and one Club race (GWTC Summer Trail Series Race #1 – Oak Hammock Trail). A second non-Club race (Tails & Trails Half Marathon/10K/5K/1M) was also scheduled to be timed in May, but severe weather forced the cancellation of that event. In June, one non-Club race (Monticello Kiwanis 5K Melon Run) and two Club races (Great Potluck Bash 4-Mile Trail Prediction Run; and GWTC Summer Trail Series Race #2 – Redbug Trail) are scheduled to be chip timed. During July, scheduled to be chip timed are one non-Club race (Capital City Kiwanis Firecracker 5K) and one Club race (GWTC Summer Trail Seres Race #3 – Cadillac Trail). Revenue received from chip timing non-Club races for the fiscal year-to-date (July 1, 2025 to May 31, 2026) totals $8,611.00.
- Grand Prix: Caitlin Ubilla reported that the Grand Prix race application has been updated for 2027. It is posted on the website. All club races are automatically considered for the Grand Prix schedule.
- School Grants Coordinator: Nothing to report
- Training Groups Coordinator: Emily reported that Bobby York offered to lead the Beginning Running group. She is considering an alternate location for the group.
Jerry stated that it is important to get younger members to step up and participate more. Club members are needed to run in the upcoming Board election. Board members are asked to encourage other club members to consider running for the Board positions.
