GULF WINDS TRACK CLUB Minutes

Present: Board members for quorum: Tony Guillen, Felton Wright, Emma Spencer, David Yon, Zack Scharlepp, Mark Priddy, Eric Godin, Judy Alexander, Herb Wills. Others; Jim and Kristen Halley, Charlie Johnson, Paul Guyas, Martha Guyas, Bill Lott, Ana Sutherland and Vicky Verano.

The President called the meeting to order at 7:32 p.m. Quorum was established at 7:35 p.m.

The Board reviewed the September 2016 minutes, a motion was passed, seconded and minutes were approved.

New Business

 Ana Sutherland and Vicky Verano – Presented the 2016 5/10 mile Challenge budget and stated how they were trying to keep costs at a minimum.  Revenue was estimated to be $6,275, expenses estimated to be $3,909.02, with net proceeds projected to be $2,365.98.  They plan to advertise the race on social media to encourage more people to the race, additionally, the 5 mile race is a 2016 Grand Prix race. The charity for the races is Capital City Youth Services dedicated to reducing sex trafficking and homeless teens in Tallahassee. A motion was made to approve the budget, seconded and passed unanimously.

 Tony Guillen – The Annual Meeting is on Sunday 13th at the Southern Public House, Tony will start the meeting at 2:20p.  He will give a rundown similar to last year including donations given by GWTC throughout the year, training groups, and also introducing the folks who are up for running for the Board next year.

Jim and Kirstin Halley – Presented the Swamp Forest 2017 race budget that included paying for post-race food that had not been done previously leading to an estimated revenue of $5,800, net expenditures of $4,811.50, with anticipated net proceeds being $988.50 that will be partially donated to Tallahassee Friends of Our Parks. .  A motion to approve the budget was made, seconded and passed unanimously.  Kristin noted that the past few years that registration for these races has been decreasing and they are looking into trying to improve race promotion to hopefully improve registrations for 2017. One idea suggested by David was to make sure that race flyers were put in the Turkey Trot race packets as they reach a large amount of people.

Old Business

 Felton Wright – Presented an election update that included one major change to the Board nominations. Paula O’Neill has withdrawn her name to be a Director-at-large.  They aim to open voting on 9th November and to keep voting open for two weeks. Each family will receive two votes and a tri-club vote if a member.  An email with instructions and unique passwords will be sent to each member. To improve voting numbers it was suggested that this be advertised more on social media.

David Yon – David give a recap on the Rex Cleveland Magic Mile and presented a budget that detailed revenues at $1,104.77, expenditures at $952.27, with net proceeds being $152.50.  The main expenditures were due to medals and also the Police Officers on the course. David made a motion for the Board to pay for the expenditures, Zach Scharlepp countered that motion by asking the Board to pay for the expenditures and also to have the proceeds go into the Chenoweth Fund, this motion was seconded, approved and passed unanimously. It is the hope that this mile race will be a regular annual event as a tribute to Rex.  Judy asked why there were two mile races (marathon mile and Rex Cleveland mile) instead of just the one.  David responded by stating that it was hard to coordinate with the opening of the Cascades Bridge with the City and trying to organize the event with the same goals he wanted for this mile so he decided to hold it on another date.

Committee Reports:

Treasurer’s Report –Emma Spencer for Katie Sherron

As of October 31, 2016, the summary accounts are, $56,020.77 in the Operations account, $2,120.18 for the Events 1 accounts, $4422.25 for the Events 2 account, $7,534.47 for the Triathlon account, $85,000 in the Invest and Reserve account and $13,961.69 in the Chenoweth Fund.

Membership Report –Mark Priddy

There are 1708 members (versus 1655 members for the same time last year), that is an increase of 41 more members than last month. There are now 896 households represented (versus 888 households for the same time last year), which is an increase of 68 households from last month. The Tri Club has 265 members. Renewal reminder letters will be printed and mailed to over 750 households after Thanksgiving.  In addition to the USPS mailings, Mark plans to utilize social media, Fleet Foot advertising and mass email distributions to remind folks to renew. It is critical that these hundreds of renewals be entered into the database as quickly as possible since the first Grand Prix race is January 21st 2017.  Having all of the names of the current GWTC members on the website was brought up to the Board, with the purpose being that members could see if they had paid their dues or not. Depending on privacy issues this topic will be researched.

Race Director Coordinator Report – Charlie Yates

Newsletter Report –Fred Deckert

No report.

Clothing Coordinator Report –Maggie Beshara

No Report. But David reported that Maggie will be setting up to sell items at the Turkey Trot festival on 20th November.

Equipment Report – Bill Lott & Vicky Droze

Bill announced that Katie Sack is now the new equipment manager and that she has requested to move the storage to near Tom Brown park.  Bill is looking into prices and how much in advance the current storage unit is paid up to and he is waiting to see what is available at the new facility as GWTC needs two units side by side.

Bill ordered the new AED pads for both the adults and infants at a total cost of $192.90, they will be good for two years, and the old ones expire in December 2016. The clock battery would not hold a charge and Bill said he tried to replace it locally, but the LED board has rivets that tended to break, so he had to get the battery from the company who also provided extra rivets for a total cost of $135.28.  Bill stated that with the extra rivets he can now do this locally if needed in the future.

    • Grand Prix Final Results posted and corrections solicited.
  • 2017 Grand Prix:
    • Presentation of proposed 2017 schedule, developed by Committee members: Chairman Jeff Bowman, Shanin Frost, Nico Wienders, Eric Trombley, Jen Barton, Matt Rowan, Kenny Walker, Charles Dickerson was made at our 10/17/2016 meeting and approved by the board.
      • The 2017 Grand Prix Races (targeted races in bold) are:

  • The board also approved the following Grand Prix rule changes/clarifications:
    • Expand OPEN points out to 7 places allowing more competitors to get OPEN POINTS: Open Points would be awarded to the first seven Tri Club members to cross the finish line in a Grand Prix event. 1st place earns 30 points, 2nd earns 20, 3rd earns 17, 4th earns 15, 5th earns 13 points, 6th earns 10 points, and 7th earns 7 points.
    • Expand AG points out to 7 places allowing more competitors to get AG POINTS: AG Points would be awarded to the first seven Tri Club members in each Age Group. 1st place earns 20 points, 2nd earns 15, 3rd earns 12, 4th earns 10, 5th earns 8 points, 6th earns 5 points, and 7th earns 3 points.
    • Clarification for bonus points (ultra-distance races) to include Open as well as AG points.
  • Saint Marks Duathlon Club Event – Charlie Johnson clarified that this race would be a 5K run – 20K bike – 2.5K run and could be used as a warm up for Red Hills.
    • Sunday, March 13, 2017.
    • Sanctioning with USAT applied for.
    • Equipment reservations with GWTC made, thank you to Peg Griffin and Bill Lott for helping and providing feedback on this process.

Lecture Series Report – Paul Guyas

On 11th November there is a “how to use your Garmin – part 2” event that was part of a previous collaboration with Roger.  Paul is planning one last event in December but is still deciding on topic and venue, information is forthcoming.

Training Report –Eric Godin for Tracy Godin (report also sent by Tracy)

Nothing new to report, all training groups are going well.

Eric also mentioned that he would like to potentially start a once a week run training group at lunchtime in Cascades Park, potentially every Wednesday at noon. He welcomes any comments or suggestions and just email him for information.

Social Report – Zack Scharlepp

There was a great turn out for the Rex Cleveland Magic Mile and the social at Proof afterwards. The annual meeting and holiday party are coming up soon as well as the awards ceremony. Zack brought up award nominations and wanted to make sure these were promoted so that people can send in their votes by the end of November.

David announced that at the Turkey Trot festival, the Edison restaurant is going to provide coupons for a free beer in their beer garden for the first 1000 people who turn up between 1:30-5:00pm.

Trail Coordinator Report –Jim Halley

Jim is continuing to make Tallahassee’s trails great again. He helped Joe Petty with the run course for the BrewTally race.  Still looking into a night trail event with Paul Guyas or a night trail running clinic, details will be forthcoming.  They are also looking into holding Swamp Forest race preview runs.

Kirstin mentioned that she was going to hold a night run for the super moon on Monday 14th November, headlamps are a must but if you don’t have one contact her so she can round up extras.

Other items:

David made the suggestion that in the New Year we could hold a social/lecture series event that would be centered on a volunteer clinic that would provide information on what they should do in an emergency.

Judy announced that Refuge House had invited GWTC members to attend the donor appreciation night on December 1st.

A motion was made to adjourn, seconded and passed. The meeting adjourned at 8:21 p.m.
