Present: Tony Guillen, Katie Sherron, Nancy Stedman, David Yon, Herb Wills, Bill Lott, Zack Scharlepp, Rachel Scharlepp, Jane Skalski, Mark Priddy, Mike Burns, Tom Perkins, Jeanne O’Kon, Lisa Unger, Maggi Beshara, Ana Sutherland, Tracy Godin, Eric Godin, Jon Manry, Paul Guyas

The meeting was called to order at 7:30 p.m.  Quorum was established.

The board reviewed the September minutes.  Motion to approve was made, seconded, and passed.

New Business:

Ana Sutherland – Proposed budget for the 10 Mile Challenge.  With estimated revenue of $5,043 and total estimated expenses of $3,176, that makes projected net income $1,867.  Motion was made to approve the budget as presented, seconded, and passed.

Eric Godin & Jon Manry -Update on the Tallahassee Marathon.  There are approximately 500 runners registered, $30k in sponsorship commitments, the course certifications are done, and some expenses are under budget.

Paul Guyas – Proposed change of title of Lecture Series Coordinator and proposed change to make position an additional voting official of the club.  This would require a change to the Bylaws of the club.  After discussion, a motion was made to create a working group to work on  possible changes to the Bylaws.  Motion was seconded and passed.

Mark Priddy -Update on the Extreme Challenge.  Seven people remain in the challenge, which is to complete the longest distance at each of the club races during the year. After researching the acquisition of medals, it was determined by Mark that obtaining 50 medals that have a space on the back for a small engraved plaque marking the year of the accomplishment was the most cost effective means to getting medals for this.  Motion was made to spend up to $1,500 on the medals, seconded, and passed.

Lisa Unger – Women’s Distance Festival Wrap Up.  As presented, after actual revenue and expenses were tallied, the net proceeds were $446.15.  However, this included the expense for EMS at $441.  However, this is a cost that was paid directly out of the club’s general fund.  Motion was made to acknowledge that net proceeds were therefore actually $887.15, and to have $500 go to the club and $387 to TMH.  Motion was seconded and passed.

Nancy Stedman for Doug Bell – Prefontaine Wrap Up.  With income of $1,345.20 and expenses of $631.51, net revenue was $713.69.  Some donations were made directly to St. Francis; some directly to the Chenoweth fund.  There are some outstanding payments from a couple of high schools and an overpayment by one; when these are settled it is proposed per wrap up presented that additional proceeds from high schools be split evenly between Chenoweth and St. Francis.  Motion was made to approve as presented, seconded, and passed.

Jeanne O’Kon – Upcoming Race Directors workshop.  Free workshop aimed at first-time or novice race directors, particularly non GWTC races.  Workshop includes panel of experienced directors.  Date is Sunday, November 8, 2015 from 1:00 to 2:30 p.m. at Premier Health and Fitness.

Rachel Scharlepp – Presentation of the slate of nominees.  As presented, President – Tony Guillen, Vice President – Mike Burns, Treasurer – Katie Sherron, Secretary – Emma Spencer.  Director at Large nominees: Nico Wienders, Zach DeVeau, Kristin Halley, Tom Perkins, Jane Skalski, David Yon, Herb Wills, Annie Bowman, Judy Alexander, Nela Diaz, Eric Godin, Doug Bell, Michael Kennett, Maria Matheu.

GW Triathletes Nominees are Vice President (President Elect 2017) – Charlie Johnson, Board of Directors: Robby Turner, Michael Weyant, Charles Dickerson, Kathy McDaris, Jen Barton.

Motion to approve the slate of nominees as presented was made, seconded, and passed.

David Yon – Proposal for committee on youth running to help schools with their running programs.  Carter Hay has expressed interest in participating and David suggested he would be an excellent chair.  There will be a general announcement asking for help from those interested in this area.

Old Business:

Tony Guillen -Annual meeting update.  Contrary to being held 11/15 (as was tentatively announced), it will be held Sunday, December 6 from 2 – 5 p.m. at the Tap Room.

Committee Reports:

Treasurer’s Report – Katie Sherron

Summary amounts are $3,725.05 in the Club’s Operating account, $2,523.32 in the Events 1 account, $8,187.97 in the Events 2 account, $85,000 in the Investment account, $12,637.54 in the Chenoweth account, and $10,962.77 in the Tri Club account, making Total Assets $151,036.65.

Membership Report – Mark Priddy

Current GWTC membership is up 90 members from last month at 1613 members in 871 households (up 23 from June).  The Tri Club has 324 members at this time.  The GWTC computer used for membership records is in the shop and at this time it’s not known if it can be repaired or not.  All data had been backed up before the problem arose.  Mark will be not be available from 11/1 to 11/23; Peg Griffin will be handling membership during this time.

Race Director Coordinator Report – Nancy Stedman for Charlie Yates

Nothing new to report.

Newsletter Report – Nancy Stedman for Fred Deckert

Nothing new to report.  However, during the past month the GWTC newsletter computer died, and replacing it was less expensive than fixing it.  Therefore, with board approval, the computer used for the newsletter was replaced.

Clothing Coordinator Report – Maggi Beshara & Jane Skalski

Will be seeing how long sleeved shirts, hoodies, tumblers and keychains will do. Will sell items at Turkey Trot Festival packet pick up 11/22.  Also possibly at the holiday party.

Equipment Report – Bill Lott

There were so many races this past weekend people were turned down for renting equipment to.  The chronomix that was broken was received back, this time, repaired.  We have six of those.

Chenoweth Fund Report – David Yon

Nothing new.

Triathlete Report – Jeff Bowman

No report.

Lecture Series Report – Paul Guyas

There will be an event with Kaos Group Training on the evening of Wednesday, 11/18.

Training Report – Tracy Godin

The signs are in and great.  However, the heavier stands are desired and will be looked into getting.  Training for the 3 distances at Turkey Trot going well.

Social Report – Zack Scharlepp

Social at the Edison on 9/22 went well, large turnout.  Next may be something in conjunction with an NFL or FSU game.  Sunday prior to Turkey Trot is the Turkey Trot Festival.

Trail Coordinator Report – Nancy Stedman for Bobby York

The Summer Trail Series committee met 10/3 and are in discussion as to exact dates.  Registration for Swamp Forest Marathon, Half & 6.5 Mile Run is on pace with this time last year with over 50 entries.  Race day is Sunday, January 3 and will be capped at 150 runners.

Extra Mention of note (D. Yon): If board wants to utilize email voting for matters that come up between meetings, it should update its bylaws to address that issue.
