The President called the meeting to order at 7:32 p.m. Quorum was established at 7:35 p.m.
The Board reviewed the September 2016 minutes, a motion was passed, seconded and minutes were approved.
New Business
Jeanne O’Kon – Jeanne started the meeting by welcoming us all to City Hall and letting us know that the public can reserve meeting rooms for no charge. She came to tell us about the upcoming Race Directors Workshop that is held annually for non-club race directors. This year it is to be held at Premier Health and Fitness on Sunday 13th November from 2-3 p.m. A panel of four expert race directors will be there to provide advice to any race directors that want to attend the workshop. Currently there is a conflict with the race director’s workshop and the GWTC annual meeting, they are held on the same day and time. *After the meeting Jeanne and David discussed changing the date of the Race Directors Workshop, the new date is November 6th at 2:00 p.m, Premier Health and Fitness.
Felton Wright – Felton, Chair of the Committee on nominations, noted that there is a good slate of candidates this year (although there was no one running for Education and Lecture Coordinator). Felton had provided the Board with the Committee’s slate of candidates at the previous meeting and the board accepted the slate and closed the nominations. After that meeting, Charlie Yates announced he was stepping down as Race Director Coordinator and David Yon aske to nominate Kory Skrob for the position of Education and Lecture coordinator. Mary Jean Yon advised she would be willing to run for Race Director Coordinator since Charlie was retiring. . David Yon made a motion requesting the board approve the late nomination of Kory Skrob. Herb then offered to make a motion to accept Mary Jean Yon and Kory Skrob as candidates. David then withdrew his motion and yielded to Herb. Herb’s motion was seconded, and passed unanimously, and the Board accepted the list that included Mary Jean and Kory, but did not include Charlie Yates. Ballots will sent to members once Peg returns from vacation (early November) and will remain open for two weeks. The Tri Club elections will open at the same time. The Committee on Nominations hopes to introduce the candidates at the annual social meeting in November.
Bill Lott and Tom Perkins – Bill and Tom presented to the final budget wrap up for the Miller Landing races. Total revenue was $2,496.60 and total expenses were $2,341.08, with a final net operating revenue (profit) of $155.52 which will go to the Chenoweth Fund. They stated that profits would have been greater had it not been for the Eventbrite fees. The event often collects canned food items for the Second Harvest Food Bank, and they had a goal of 2000 lbs of food to be collected, they surpassed that by collecting a total of 2,355 lbs and $125 in cash (this equates to 2lbs for every $1).
David Yon – David provided an update on the Turkey Trot training groups, including a new opportunity for middle and elementary school students. Angie Milford will be responsible for holding training sessions on Wednesday nights. The goal is to provide training from the Turkey Trot race to the marathon mile and on to Spring Time. There is a push to advertise this competition to elementary and middle school children and current plans include devising specific training plans and having a designated area at Turkey Trot where they can set up before the race. Tracy, Amy and Angie are working hard on getting this up and running, with the hopes of expanding this beyond one location one day. Training will initially begin at Winthrop Park. There are plans to have the teams compete in the Rex Cleveland Magical Mile on November 2nd, 6:30 p.m. The mile event plans to charge a small amount, approximately $5-$8 per person to cover the cost of medal etc. The fee can be substantially lowered or eliminate if participants bring donations for a group assisting homeless veterans David will not obligate the club to any expenses, but will bring a complete accounting to the next meeting. All money collected will remain in GWTC account unless authorized by the board to be spent elsewhere.

Treasurer’s Report –Katie Sherron
As of September, 2016, the summary accounts are, $48,405.70 in the Operations account, $2,120.18 for the Events 1 accounts, $4422.25 for the Events 2 account, $7,262.00 for the Triathlon account, $85,000 in the Invest and Reserve account and $13,951.99 in the Chenoweth Fund.
Membership Report –Mark Priddy
1667 Members versus 1613 members same time last year and 123 more members than last month, likely due to beginner runners training groups. There are now 872 households represented, an increase of 68 households from last month. The Tri Club has 259 members.

Equipment Report – Bill Lott & Vicky Droze
The Chronomix has been acting up and won’t print, so it has been sent off to Seiko headquarters in New Jersey. Also the pads for the AED have an expiration date and new ones need to be purchased for both adult and infant sizes, the approximate cost is over $200. The AED battery will also need to be replaced sometime next year, these are expensive, over $350. Bill also mentioned that someone has expressed an interest in being the Equipment coordinator and they will get with Vicky Droze to see what the job entails, this person is also interested in learning the chip timing process.
Website Committee Report – David Yon
They are still working on creating a user friendly, downloadable calendar and have made a few steps in progress towards this task.
Chenoweth Fund Report – David Yon
The Chenoweth Committee received a request for $247 from Annie Milford to put on a elementary school cross country race at Maclay that any child can run, the committee fully supported this effort, therefore a motion to approve this request was made by the Board, seconded and passed unanimously. David also mentioned that the new coach of Chiles High School, Philip Browning, is thinking about putting on a community track meet and may ask for funds at the beginning of next year.

Charlie and crew are still working on getting this race organized, there is a conflict with the race date chosen and so a possible solution would be to have it on Sunday 26th February, 2017, possibly in the afternoon. They are also looking into whether or not to try and certify the course, as certification will help with being a qualifying race for the National Duathlon Championships, this may not happen in 2017, but could be a possibility for 2018. Charlie then asked what the protocol was for the Tri Club renting and reserving timing equipment. It was decided that the Tri Club would be treated in the same way as GWTC does for putting on club races as far as equipment rentals and expenses are concerned except that the Tri Club should pay for the bibs as they will keep the proceeds of the race.

Lecture Series Report – Paul Guyas
There is a lecture planned for November 7th, where Dr. John Van Tassel, chiropractor for FSU will present. December 7th has also been scheduled for another lecture but the topic is to be determined. Paul is working on getting in touch with different vendors to try out items such as lights etc. to demo on a night time trail run.
Training Report –David Yon for Tracy Godin (report sent by Tracy)
Turkey Trot:
We just started up two weeks ago. For the first time we are training for the 15K course because it’s a grand prix race. We have demos or prize giveaways when we are at CCR location, and we have speakers during an El Jalisco dinner when we are in Southwood. The RD for Running for the Bay gave David some free race registrations, so I’m holding a drawing tomorrow night to give those away to our runners.
Turkey Trot Mini’s:
David and I are starting up a small Turkey Trot training group on Wednesdays for elementary and middle school aged kids. David had an idea to create a school challenge, and we can carry this into other races such as Springtime etc. This run will be held at 5PM on Wednesdays, starting next week at Lafayette Park in the corner where Betton Hills Road meets Mitchell Avenue.
Marathon Training Group:
We start this Sunday. Every single run will be held on the actual marathon course this year, except Christmas and New Year’s, we will be doing the Run for Posey on Xmas eve and possibly a trail run for New Year’s. Ely is super happy with everything. I setup Eventbrite for her and will be doing that weekly in Roger’s absence, and Jon will setup the actual course runs. We already have 25 people signed up and 60 maybes, which are significant numbers since I just made the event yesterday, so I think this will be a great event! This year we will have businesses sponsoring each weekly run, such as, Orange Theory for week One (they are giving away free sweat towels and one free session), TMH is week two, and Newks is our third weeks sponsor.
In the meeting David mentioned that there was a miscommunication where people thought they had to sign up for the marathon in order to join the running groups, this is not true, the running groups are free and open to anyone.
On a side note: I had several items “misplaced” last year from CCR and I ended up having to buy about $300 worth of more supplies for this year’s training. It was basically all of our coolers that went missing, 5Gal’s and our small 2Gal’s all disappeared, along with our blue cooler bags that they went in. I’m not sure how to avoid this in the future so I am keeping a tab for now of everything I loan out to them. I draw in big black marker “GWTC” on everything but that won’t prevent things ending up in people’s garages etc. So I would love suggestions on how to avoid this type of issue in the future.
Beginning Running Group:
It’s off to a great start. Chika has tons of great volunteers so if she is not able to attend or is running late due to work, it’s still all taken care of. We have around 40 people this year I think, and each week it seems to grow. CHP still owes me some free giveaways to give to our runners that they promised me, however I am having a hard time getting a response from them lately, but I’ll keep trying.
Tallahassee Mountain Bike Association (TMBA):
I got with Joe and he loves the idea of mingling our clubs. So to start, we are creating a few training run/rides for our athletes to practice together for the Brewtallaty course. They can do relay where only one person rides and one person runs, so these training runs are great for people who are even just runners. Also, they will add us to their mission statement in that we will now be allowed by the City to help participate at trail cleanup days; however they must be a paid GWTC member in order for the city to approve them helping clean up the trails. Please note that only certain tools are allowed on the trails, so I would not suggest we invite the whole world to these events, but it would be nice to have some GWTC members helping TMBA out once in a while since they are the only club in town who maintains our trails, yet we all use them.
Social Report – Zack Scharlepp
The annual GWTC meeting will be held at The Southern Public House, November 14th from 2-4 p.m. A bowling social, will be held before that on October 25th from 5-7 p.m. Zack asked if everyone who would like to attend that event let him know either via email or facebook, in order for him to book enough lanes. Kathy Lindsay is working hard on the annual holiday party, the date is December 10th.
Trail Coordinator Report –Jim Halley
The trails are all cleared after the hurricane and they are working on a night time trail running event with Paul Guyas. Registration for Swamp Forest opened up and training runs will be forthcoming.
