GULF WINDS TRACK CLUB Minutes

The meeting was called to order at 7:35 p.m. Quorum was established.
The board reviewed the August minutes. Motion to approve was made, seconded, and passed.
New Business:
Gary Droze – Maclay school has been offered legal access for those using their athletic facility to the adjacent state park (currently a locked gate is there). The caveat is that the school must install a more secure gate with electronic entry device. Estimate for gate is $2,185. Since many club members and activities take place at the school (and members access the state park from there), the school is asking that the club share the cost of the gate. Motion to pay half of the cost of the gate was made, seconded, and approved.
Doug Bell – Proposed budget for the Prefontaine 5k race. Estimated expenses of $667, estimated income of $1,500, estimated net revenue of $833. Net proceeds to be split between St. Francis Wildlife Assoc. and the Chenoweth Fund. Motion to approve budget as presented, seconded, and approved.
Nancy Stedman/Tony Guillen – Board voting by e-mail, because an occasional correction or time sensitive issue must be dealt with. There is nothing in the bylaws saying it can or cannot be done. David will review the bylaws and make a recommendation.
Felton Wright – Breakfast on the Track wrap up. Expenses were $2,045.96, total income was $3,009.35, net income of $963.39 split between GWTC and Maclay School Track Boosters.
Tony Guillen/Felton Wright – Elections for 2016 Board of Directors. Tony advised that committee on nominations should be activated per the bylaws, and per the bylaws the past president chairs the committee. Tony then stated his wanting to appoint Peter Kaus and Rachel Scharlepp as the other members of the nominating committee. Motion was made to approve the appointments, seconded and approved.
Felton stated the following individuals running: Tony Guillen, President. Mike Burns, Vice Pres., Katie Sherron, Treasurer, David Yon, Tom Perkins, Herb Wills and Nico Wienders all running for director-at-large seats. More individuals are needed.
Amanda Hudson – Proposed Grand Prix schedule for 2016 presented. Motion to approve subject to committee approval and further verification with race directors was made, seconded, and approved.
Tony Guillen – Annual Member Meeting. Tap Room is a possible location. It will tentatively be held Sunday, 11/15.
Old Business:
Mike Burns – Idea of paying $1500 for unlimited bus rides for runners the day of the race discussed. Recommendation was made to talk to Star Metro about a per user deal instead.
Committee Reports:
Treasurer’s Report – Katie Sherron
Summary amounts are $32,599.68 in the Club’s Operating account, $2,546.96 in the Events 1 account, $8,187.97 in the Events 2 account, $85,000 in the Investment account, $12,620.69 in the Chenoweth account, and $10,915.85 in the Tri Club account, making Total Assets $151,871.15.
Membership Report – Mark Priddy
Current GWTC membership is up 20 members from August at 1523 members in 803 households (up 23 from June). The Tri Club has 322 members at this time.
Race Director Coordinator Report – Nancy Stedman for Charlie Yates
Nothing new to report.
Newsletter Report – Nancy Stedman for Fred Deckert
Nothing new to report.
Clothing Coordinator Report – Maggi Beshara & Jane Skalski
82 shirts have been ordered through Capital City Runners, they are Brooks short sleeved shirts. Sold $270 worth of merchandise this month, mainly at Breakfast on the Track. Will sell items at Turkey Trot packet pick up 11/22.
Equipment Report – Bill Lott / Vicky Droze
We exchanged cones (98) with a sports car club, since they thought our cones would work better for them. We got the better cones in this deal. Four canopy shelters were acquired and are only for club use. The chronomix sent out for repairs came back, but was not fixed. It has been sent back.
Website Committee Report – David Yon

Chenoweth Fund Report – David Yon

Triathlete Report – Jeff Bowman
On 9/21 Mike Ormsbee will be speaking about sports nutrition.
Lecture Series Report – Nancy Stedman for Paul Guyas
There will be an event on 9/23 at Logan’s Roadhouse. The guest speaker is a chiropractor.
Training Report –
Discussion that Beginners Running Group starts Wednesday 9/16. Turkey Trot training will alternate between Capital City Runners and Southwood, and will feature speakers.
Social Report – Zack Scharlepp
The next social will be 9/22 at the Edison (in Cascades Park) for Turkey Trot kickoff. The club has been approached about having the holiday party at Shiloh Farms jointly with Capital City Cyclists, which Kathy Lindsay can proceed with.
Trail Coordinator Report – Tony Guillen for Bobby York
Bobby asks that a committee led by Jim & Kristen Halley with support from himself, Brian Molen, Steve Halsell, and Amelia Crooms take over directing the trail series. Motion was made, seconded, and approved. Bobby will continue as director of the Swamp Forest Marathon, which he will present a budget for next month..
