GULF WINDS TRACK CLUB Minutes

Members Absent: Hawthorne Hay, Judy Alexander, Debbie Peters. Non-Voting Members Present: Mary Jean Yon, Bill Lott, Kory Skrob, Robert Skrob, Zach DeVeau, Jack McDermott, Mark Priddy, Hilary Powell.
I. Opening and Introduction:
Jerry McDaniel opened the meeting at 6:33 p.m. A motion was made to approve the minutes of the March 2026 meeting. Motion was seconded and passed.
II. Announcements from Officers:
David Yon mentioned that Dave Roger’s wife Carmen passed away, and the memorial service is on Friday.
Mickey introduced Hilary Powell, who will take over Running Shorts. She introduced herself and asked Board members to send her any updates. Mickey will share her contact information with the Board members.
Jerry mentioned that David Yon was contacted by Florida High. They are putting on a Health Fair on Wednesday, April 22 from 5:00 to 7:00 and GWTC will have a table at the event. He asked for volunteers to work at the table.
Jerry is working with attorney Bill Dillon on the Privacy Policy. Bill will send an engagement letter to confirm the plan.
Jerry reached out to the City Manager to see about possible mitigation of City Park fees for certain GWTC events. In place of the July Board meeting, Jerry proposed that a Summer Meeting open to all club members be held. Motion was made and seconded to hold the Summer Meeting in place of the Board meeting. Motion passed.
III. Old Business/Race Closeouts:
a. 2026 Marathon/Half Marathon Budget Closeout: Robert Skrob reported on the 2026 Marathon and Half Marathon. Bank of America sponsored the event, and there were 2994 registered individuals. A new course was developed, and eventually a course certification specialist (Helen from Thomasville) was hired after two previous ones declined. The FSU Dunlap Center worked out well for the expo. More than 300 people volunteered on race day. The finish line structure was a new expense of $18,000.00. Visit Tallahassee has approved the closeout, and when that payment is received, there will be an overall profit of $43,000. Several contributions are being made from the race proceeds. Motion was made and seconded to approve the budget closeout Motion passed.
b. 2026 GWTC 30K/15K Budget Closeout: Zach DeVeau reported that there were 198 registrants. T-shirts were available this year and only 30 registrants requested them. The race had items leftover from last year, which reduced expenses. Net income was $1,000 which goes to the Chenoweth Fund. The course needs to be re-certified for next year. In 2027, they will celebrate the 50th running of the race and Zach will do something special. Motion was made and seconded to approve the closeout. Motion passed.
c. 2025 Ultradistance Closeout: Jack reported that there was a total of 61 participants in the race. There were four finishers in the 50-mile race, and Jack is considering dropping that race in the coming year. Getting timers for the long day is an issue. Moving it off-road is another consideration. Half of the profit will go to Friends of Wakulla Springs. Motion was made and seconded to approve the budget closeout. Motion passed.
IV. New Business:
a, 2027 Marathon/Half Marathon Budget Proposal: Robert reported that he hopes to increase the registration fee in 2027. There will be an opportunity to cut back on some expenses. Some discussion ensued about the possibility of compensating the Marathon race directors. Carl raised points from the treasurer’s perspective about the complexity of this financially by turning the race directors into sub-contractors. Allen pointed out that nonprofits can pay for what they cannot get for free. One possibility is to hire an event planning company. RRCA has a specific provision that a “chief executive” cannot be paid. It was recommended that more time be taken to review such a decision. One suggestion was to cap the enrollment of the Marathon and to include a management fee on RunSignUp. There are paid race directors in some races in the country. The races offered by GWTC have been growing considerably. Jerry recommended waiting two weeks to make a Board decision, and he will ask for an e-mail vote at that time.
b. GWTC Recognition Recommendations: Mickey and other committee members generated ideas and processes for recognizing club members for leadership, race directing, Board service, and other service to the club. Someone has to take responsibility for carrying out some of these recommendations. This typically falls to the Vice-President. Thank you cards, certificates, and other recognition items were mentioned. Motion was made and seconded to accept the committee recommendations. Motion passed. There was one “nay” vote.
V. Reports:
a. Treasurer: Carl reported that 314,714 and $400 in liabilities. The Operations account has $200,000.
b. Triathlete Club: Joanne reported that the Duathlon numbers were down and 44 registered; 34 finished. The club may change the date to November or mid-December. This month, they will hold two open-water swim practices at Maclay.
c. Director of Race Directors: Lisa reported that a Zoom meeting was held in March, and they will pursue getting a discount with local port-o-let vendors to get the best deal. The Timing Summit will be held on April 16, and it will help race directors be more familiar with the timing side. Dates are being negotiated for races later in the year.
d. Director of Communications: Mickey Moore held a committee meeting this week to discuss role clarification. The team members are working on a number of issues, including brand standards, the club YouTube channel, and other items. He also discussed the Podcast progress.
e. Director of Education and Socials: Tina reminded everyone about the Timing Summit coming up next week.
f. RACER Committee: No report.
g. Chenoweth Fund: Nothing to report.
h. Merchandise: No report.
i. Equipment: Bill Lott reported that the PA System has been repaired and returned from PSG, Inc. The cost of the repair was $82.40. Repairing a broken race clock stand has been abandoned and a new stand was purchased to replace it. A second race clock stand has also been broken and it too has been replaced instead of attempting to repair it. One of the broken stands was 20 years old, while the other broken stand was 26 years old. The cost of the new stands was $119.99 each ($239.98 total), on sale from $159.99 each.
The battery in a Time Machine will not hold a charge and the printer head is nearing the need for replacement. The battery can be replaced; however, the printer head for our model is no longer available. A second Time Machine is no longer usable due to the same problems with the battery and printer head, which leaves the Club with just one working Time Machine. A new and updated model, called the Time Machine Gen 2, costs $749.00. Prior to buying one, research will be conducted to determine whether similar or better alternative equipment is available.
After the Springtime races when the equipment was being returned to then storage facility, it was noted that 10 of the 6-foot folding tables had broken handles which makes picking up and carrying the tables difficult. Replacing the broken handles will be researched. The two storage units being rented by the Club are becoming more and more crowded due to equipment purchased over the last few years and the storage of Triathlon Club equipment. The equipment manager is exploring the possibility of renting a third unit.
j. Chip Timing: Bill Lott reported that in March, one non-Club race (Shamrock Scurry 5K/1M) and two Club races (St. Marks Duathlon; and Springtime 10K/5K/1M) were chip timed. During April, only two races will be chip timed and both are Club races (Bowlegs 5K/1M Run for Scholarship; and Palace Saloon 5K). Scheduled to be chip timed in May are two non-Club races (Tails & Trails Half Marathon/10K/5K/1M; and St. Peter’s Anglican Cathedral Mother’s Day 5K/1M) and one Club race (GWTC Summer Trail Series Race #1 – Oak Hammock Trail). Revenue received year-to-date 2026 (January 1 to March 31) for chip timing non-Club races totals $ 5,937.00.
k. Grand Prix: No report.
l. School Grants Coordinator: No report.
m. Training Groups Coordinator: Emily reported that new t-shirts were produced with the funds for the Training Groups. The Springtime training group finished the race, and 19 people came to the final celebration.
