GULF WINDS TRACK CLUB Minutes

February 10, 2010 Board Meeting Hosted by Charlie and Linda Yates

Present: Julie Clark, David Yon, Felton Wright, Bill Lott, Tom Perkins, Bob Macdonald, Herb Wills, Mark Priddy, Mary Jean Yon, Fred Deckert, Margarete Deckert, Charlie Yates, Judy Alexander, Amy Antimucci, Vicky Verano, Jerry McDaniel and Jerry Chesnutt.

Judy Alexander called the meeting to order at 7:40 p.m. Quorum was established.

The Board reviewed the January minutes. A motion was made, seconded and passed by unanimous vote to accept the minutes as presented.

New Business

Jerry McDaniel – Jerry reported that this year’s GWTC 30K/15K had a record number of runners participating and cleared a profit of $900. He noted the improvements made possible by having the use of the Retreat premises for the entire day and requested permission to secure that same arrangement for next year’s race. He added that he had discussed this with the Awards Committee Chair who was also agreeable to using these facilities for the 2011 Awards Ceremony. A motion to allow Jerry to contract for the one day rental of The Retreat at Bradley’s Pond for the 2011 GWTC 30K/15K at a (reduced) cost of $1075 was seconded and passed by unanimous vote.

Mark Priddy – Mark presented the Flash 12K proposed budget which included a provision to donate half of the proceeds to the Chenoweth Fund. A motion to approve the budget was seconded and passed by unanimous vote.

Herb Wills – Herb presented the Palace 5K proposed budget and pointed out that one-half of the race profits would be donated to the GWTC Relay For Life team fundraising efforts. A motion to approve the budget was seconded and passed by unanimous vote.

Judy Alexander – Judy informed the Board that Paula Kiger had agreed to captain the GWTC Relay For Life team again this year. The Board expressed its appreciation and granted permission for Paula to register the team at a cost of $100.

Mary Jean Yon – Mary Jean requested permission to work with the race directors of all GWTC races this year to provide opportunities to recycle. She cited the success of recycling bottles and cans at the Marathon and expressed optimism about having similar results at the rest of the club’s races. Discussion ensued and a motion that the Board have a policy to promote recycling at its races was seconded and passed by unanimous vote. As part of that motion, Mary Jean was granted permission to work with individual race directors to accomplish this.

Tom Perkins – Tom presented a proposed budget for the Tallahassee High School Track & Field Championships which will be held at the FSU track on April 6, 2010. After some discussion, a motion was made to approve a budget for up to $1500 for GWTC to be a title sponsor of this track meet. Sponsorships will be sold for individual events in order to help off-set costs. Proceeds from these event sponsorships will be split between the Club’s general revenues and the Chenoweth Fund. Approval was also contingent upon GWTC being named as an additional insured on the event’s insurance policy. The motion was seconded and approved.

Judy Alexander – Judy announced that she and Nancy Stedman were stepping off the Awards Committee and needed replacements to be named. In addition, Lisa Unger was coming off the committee after serving multiple terms and providing invaluable service to the committee. Discussion ensued and the Board voted to confirm the appointments of Mark Priddy, Julie Clark and Amanda Hudson as replacements for these three vacancies.

Treasurer’s Report – Amy Antimucci

Currently, there is $77,077 in the Club’s money market account and $11,837 in the checking account. The Chenoweth Fund has $17,955, and the Tri Club has $3,356. The Board reviewed a proposed budget for 2010 and made an adjustment to the anticipated revenues for Turkey Trot. With that one change, a motion to approve the budget was seconded and passed unanimously. Amy also reminded race directors to make sure all checks are signed when conducting race registration. Judy introduced Jerry Chesnutt to the board and stated that he would be available to assist Amy, when needed, with some of the duties of the Treasurer position.

Membership Report – Mark Priddy

The Club has 1025 members in 544 households. Mark noted that all club members will now receive a magazine, which is published quarterly, titled “Club Running.” This complimentary subscription is made possible because of GWTC’s membership in the Road Runners Club of America (RRCA).

Race Director Coordinator Report – Charlie Yates

Charlie noted that many requests continue to come in for assistance with local races. It was agreed that while the club may not be involved with every non-GWTC race in town, providing tools such as the Race Director’s Handbook (which is posted on the web site) should be of some benefit to their race directors.

Newsletter Report – Fred Deckert

No report.

Clothing Coordinator Report – Margarete Deckert

Margarete reported that she sold one shirt. As a follow-up to Amy’s report, she informed the Board that a previously reported sale of two shirts had resulted in a bounced check which she promised to track down and obtain reimbursement.

Equipment Report – Vicky Verano

Vicky reported that all was well with the equipment. She thanked the web masters for posting a note on the GWTC web site informing people that equipment would not be released without payment of rental fees.

Website Report – David Yon

David reported that the host of the web site has been changed.

Chenoweth Fund Report – David Yon

David described two requests for assistance that the Chenoweth Fund Committee had voted to approve. The first was a $750 donation for the Special Olympics 5K and the second was a $300

donation for the “Stomping Out Diabetes 5K.” A motion to approve both requests was seconded and passed unanimously.

Tri-Club Report – Robert Macdonald

The Tri Club continues to grow and currently has 180 members. The Club had a successful awards meeting and is now in the process of electing their new leadership positions. These results will be announced at the club’s next meeting which will be on Monday, February 15 at Momo’s Pizza.

Lecture Series Report – Judy Alexander for Nancy Stedman

The next lecture will be on Friday, March 19th and will feature Karen Harvey who coaches the women’s cross country team at Florida State University. The lecture will be held at Premier Health & Fitness Center and will start at 7:30 p.m.

Training Report – Judy Alexander

Judy reported for Robin Borschel and T.J. Cutchins that the Springtime Training Group has 110 people participating in this year’s class.

Social Coordinator Report – Kathy Lindsay

No report.

There being no further business to discuss, a motion to adjourn was made, seconded and passed unanimously at 9:15 p.m.
