Gulf Winds Track Club Minutes

of the February 13, 2013 Board Meeting Hosted by Charlie Yates

Present:  Felton Wright, Robin Hill, Nancy Stedman, Jay Silvanima, Judy Alexander, Jerry Chesnutt, Charlie Yates, Jackie McDaniel, Brian Corbin, Lisa Unger, Herb Wills, Mary Jean Yon, David Yon, Tom Perkins, Chuck Davis and Bill Lott

Felton Wright called the meeting to order at 7:30 p.m.  Quorum was established.

The Board reviewed the January minutes.  A motion was made, seconded, and passed to accept the minutes as presented.

New Business

Nancy Stedman and Jay Silvanima – Nancy and Jay asked that the issue of the Fleet Foot that lists the Tallahassee Marathon/Half Marathon results be distributed electronically to all marathon and half marathon finishers.  It will also include a GWTC membership application. 

Judy Alexander – On behalf of Riley Bell, assistant track and field and cross-country coach at Leon High School, Judy requested $1,000 for some equipment replacement.  $699 was requested to purchase new starting blocks and a cart.  The remaining $301 will be used for equipment needs as determined by the coaches. A motion was made to approve the request for $1,000, seconded, and approved.  Judy also requested a check in the amount of $127.50 to reserve a booth at the 2014 Tallahassee Fitness Festival.  A motion was made to approve the request, seconded, and approved.

Felton Wright – Prior to the meeting, Felton reviewed the policies of all the standing committees and went over his findings with board members.  He will make appointments to the different committees as needed and bring those to the board for approval where required.  He reappointed David Yon as chair of the Chenoweth Endowment Fund Committee, and the Board approved the appointment.

Jerry Chesnutt – Jerry presented the proposed GWTC 2013 budget.  After discussion by the Board, it was decided that more detail should be included regarding the net profits of individual Club races.  Jerry is going to provide that in the near future.

David Yon – David presented a proposed budget for the Palace Saloon 5k.  He announced that Mike Burns will be the new race director, and thanked Herb Wills for all his work over the years as director of the race.  A motion was made to approve the budget as presented, seconded, and approved.

Jackie McDaniel – Jackie gave a wrap up report on the 2013 30k/15k.  Revenues amounted to $6,461, and expenses were $3,805.08, with a net profit to the Club of $2,655.92.

Treasurer’s Report – Jerry Chesnutt
There is $62,394 in the Club’s checking account with $4,835 of that belonging to the Tri Club and $2,806 is in the equipment reserve fund.  The Chenoweth fund has $14,033 and there is an additional $50,531 in the investment account.

Membership Report – Mark Priddy
Prior to the meeting, Mark emailed the following information: Currently, there are 1,533 members in 842 households. This is an increase of 399 members and 206 households over last month.

Race Director Coordinator Report – Charlie Yates
The race calendar is in good shape.

Newsletter Report – Jackie McDaniel for Fred Deckert
Nothing new to report.

Clothing Coordinator Report – Jackie McDaniel for Paula O’Neill
Paula, Robin Hill, and Paula Kiger sold $1,160 worth of clothing this month at the Tallahassee marathon expo.

Equipment Report – Jackie McDaniel for Vicky Verano
Everything is running smoothly with equipment rentals.

Website Report – David Yon
Nothing new to report.

Chenoweth Fund Report – David Yon
David provided an updated draft of the Chenoweth Endowment Fund Guidelines for the Board’s review.  It will be discussed at next month’s meeting.  Stephanie Kurgat requested $900 from the Chenoweth Fund to assist Stephen Cox, assistant cross-country and track and field coach at Maclay High School, with financial assistance to attend a meet where she is competing.  The funds will help pay for a plane ticket, hotel expenses, food, and will also assist with paying part of the cost of her plane ticket.  The Chenoweth Committee approved the request.  There was a motion to approve, seconded, and approved.  The Tallahassee Trailblazers requested financial assistance with travel expenses to the AAU National Qualifying meet in the amount of $1,500.  The Chenoweth Committee approved $1,000.  A motion was made to approve $1,000, seconded, and approved.

Triathlon Report – Rob McNeely
Nothing new to report.

Lecture Series – Nancy Stedman – Dr. George Merritt will be the guest speaker on March 1st at Premier Health and Fitness Center.

Training Report – Bill Lott
There are approximately170 people signed up for and participating in the springtime 10k training.  Chuck Davis announced that the Trail Blazers would start training the week after the Springtime 10k race. 

Social Report – Robin Hill
Robin will plan a social to be held in March, and it will probably be at a midtown bar.  A family social will be planned for the near future.  More details to follow.

Prior to the end of the meeting, Tom Perkins announced that the City Track Meet will be held April 2 at Godby High School. 

There being no further business to discuss; a motion to adjourn was made, seconded, and passed at 9:01 p.m.
