Minutes March 12, 2008 Board Meeting Hosted by David and Mary Jean Yon

Present: Mary Jean and David Yon, Sheryl Rosen, Bob Keller, Gene Opheim, Bill Lott, Peg Griffin, Judy Alexander, Mae Cleveland, Keith Rowe, Charlie Yates, and Joe and Nadine Dexter

Mary Jean Yon called the meeting to order at 7:37 p.m. Quorum was established.

The board reviewed the February minutes. A motion was made, seconded and passed by unanimous vote to accept the minutes as presented.

New Business

Sheryl raised the idea of naming the new school running grants program, possibly as Starting Line Grants. The board agreed a name is a good idea but decided to wait for further input.

School Grants Program Report – Mae Cleveland
Mae received grant applications from Springwood, Hawks Rise, Killearn Lakes, and Chaires elementary schools. Roberts Elementary School and Swift Creek Middle School are also interested.

Race Coordinator Report – Charlie Yates
Charlie drafted a letter to directors of non-GWTC races that are on the grand prix circuit. He will seek Mary Jean’s review at a later time.

Race Director Report – Judy Alexander, Springtime 5K/10K
Members of the FSU track & field teams held a training workshop at one of the Boys & Girls Clubs to generate interest in the Springtime 1-mile race. Judy has more than 200 pre-registrations. Judy confirmed with Sherrie Routt at the Department of Management Services (DMS) that beer was allowed under the permit as long as four conditions are met. The conditions are as follows: 1) We don’t serve minors. 2) We don’t charge for the beer. 3) Police are present at the race 4) Funding for the beer doesn’t detract from charitable donations. The race meets those conditions, but Judy will wait for a follow-up e-mail from DMS. Mary Jean thanked Judy for this follow-up and stated this response was sufficient to address the questions she had been receiving.

Race Director Report – Joe and Nadine Dexter, Flash 12K
Joe submitted the final budget to the board. The race netted $862.10. 131 runners finished.

Treasurer’s Report – Gene Opheim
The club has $70,656, which is an increase of $4,703. The Chenoweth Fund has $15,572, which is a decrease of $378. The GWTC 15K/30K netted $1,409. The Tallahassee Marathon netted $3,402, although this is still a tentative total.

Newsletter Report – Sheryl Rosen for Fred Deckert
Fred submitted preliminary survey results to the board via e-mail this week. He will put the survey in the newsletter for members who may not have received the e-mail version and report back to the board with final results.

Lecture Series Report –Sheryl Rosen for Fred Deckert
Fred is waiting to compile the comments from the survey for direction on speakers, topics, and a proper evening to schedule the next lecture.

Social Coordinator Report – Mary Jean Yon for Kathy Lindsay
Mary Jean would like to plan a social event this spring. She asked board members to send her their ideas.

Awards Committee Report – Mary Jean Yon for Lisa Unger
The Grand Prix Committee is still working through the issue of kids’ participation in the adult grand prix. Lisa will return next month with an update.

Training Report – Nadine Dexter and Keith Rowe
Nadine is starting another running boot camp and expects 30 to 40 participants. All of her group leaders are returning this year. Keith reported the Springtime training group is going well and attendance is strong.

Equipment Report – Joe Dexter
Fred changed one clock’s battery, and Joe reported the equipment is in good order. Also, Zeta Tau Alpha submitted the wrong amount for their equipment security deposit, so Joe will follow up with them. Bill told the board the wind at the Thomasville Road Baptist Church race blew the other clock over. It still works, but it sustained minor damage.

Membership Report – Peg Griffin
The club has 841 members in 464 households.

Old Business

Bob Keller reminded the board of the Capital Health Plan Champions field day April 19.

Bill and Peg manned a GWTC booth at the Florida Department of Health’s Step Up Florida event, but turnout was poor.

The Relay for Life Team will hold a fundraising car wash and dog wash at Peg’s house April 5.

A motion to adjourn was made and seconded. The motion passed unanimously at 8:30 p.m.
