Gulf Winds Track Club Minutes

of the March 13, 2013 Board Meeting Hosted by Chuck Davis at Premier Health and Fitness Center

Present:  Felton Wright, Judy Alexander, Jerry Chesnutt, Jackie McDaniel, Brian Corbin, Lisa Unger, Herb Wills, Mary Jean Yon, David Yon, Tom Perkins, Chuck Davis, Mike Burns, and Bill Lott

Felton Wright called the meeting to order at 7:30 p.m.  Quorum was established.

The Board reviewed the February minutes.  A motion was made, seconded, and passed to accept the minutes as presented.

New Business

Tom Perkins – The City Track Meet will be held at Godby High School on April 2.  Starting time is 4pm.  Tom presented a proposed budget to pay for medals and shirts.  A motion was made to approve the budget, seconded, and approved.

Lisa Unger – Lisa informed the Board that Tim Unger is willing to remain in the position of Team Racing Coordinator for the upcoming year. The Board expressed its support for his continuing in that position.

Mark Priddy (via email) – The 2013 Flash 12k/6k race had a total of $4,857 in proceeds and $2,888 in expenses. $183 was donated as Chenoweth specific donations.  A total of $1,076 (including the $183) will go to the Chenoweth Fund and $893 will go to GWTC.

Old Business

David asked if there were any questions or comments regarding the updated Chenoweth guidelines he presented to the Board in February.  There were none.  A motion was made to approve the updated guidelines to replace the current Chenoweth guidelines.  The motion was seconded and approved.

Treasurer’s Report – Jerry Chesnutt
There is $65,655 in the Club’s checking account with $4,855 of that belonging to the Tri Club and $4,056 is in the equipment reserve fund.  The Chenoweth Fund account has $13,033 and there is a reserve in the general account for an additional amount of $683 (not sure the 83 is right) to be transferred to the Chenoweth Fund account.  There is an additional $50,531 in the investment account.  Jerry presented the 2013 Club budget providing more detail as was previously discussed by the Board.  A motion was made to approve the budget, seconded, and approved.

Membership Report – Mark Priddy (via email)
Currently, there are 1,612 members in 882 households. This is an increase of 79 members and 40 households over last month.

Race Director Coordinator Report – Charlie Yates (via email)
The race calendar is in good shape.

Newsletter Report – Judy Alexander for Fred Deckert
Nothing new to report.

Clothing Coordinator Report –Paula O’Neill (via email)
Paula sold $425worth of clothing this month.

Equipment Report –Vicky Verano (via email)
Everything is running smoothly with equipment rentals.  Bill Lott asked the Board if the Gadsden Correctional Facility is required to rent the timing equipment.  After some discussion among board members, a motion was made to waive any fees when GWTC members participate in the event at GCF and supervise the use of the equipment, provided the timing equipment has not already been reserved. 

There was discussion about a group that had rented equipment from GWTC, but had failed to clean up properly after they used the equipment and to properly secure the equipment.  In addition, to forfeiting their deposits, Board members wanted to support the equipment manager’s authority to deny any future application for equipment rental if the requesting group has proven in the past not to be responsible with the Club’s equipment. 

Website Report – David Yon
Peg is going to add January 2014 to the 2013 calendar.

Chenoweth Fund Report – David Yon
Stephanie Kurgat previously requested $900 from the Chenoweth Fund to assist Stephen Cox, assistant cross-country and track and field coach at Maclay High School, with financial assistance to attend a meet where she is competing.  The funds were to help pay for a plane ticket, hotel expenses, food, and will also assist with paying part of the cost of her plane ticket.  Stephanie informed David Yon that her coach was not able to go on the trip.  She will provide expense receipts of her trip and return any funds that were not needed.

Triathlon Report – Rob McNeely (via email)
Membership remains steady around 340 members.  The unofficial season opener is the Red Hills Sprint Triathlon that will be held March 30 at Maclay Gardens state park.  The company previously chosen to manufacture the new kits is nearly 3 months late getting sizing kits to the Tri Club and sent the wrong cuts for the men’s kits.  The Club is currently reviewing other manufacturers and hopes to be taking pre-orders soon. Work continues on transitioning the Kids Team with Revolutions Triathlon Coaching into a Gulf Winds Triathletes Youth & Junior Team beginning next year.  A transition committee has begun working through various issues.  Plans are underway for a combination garage sale/silent auction later this year as a fundraiser for initial seed money to support the Youth & Junior Team.  Four kids’ events are scheduled for the year (three super-sprint tris and one swim and run duathlon).  More details can be found on the Tri Club website.

Lecture Series – Nancy Stedman 
Nothing new to report.  The Club President continues searching for a person to replace Nancy as the responsible person for this series.

Training Report 
Judy reported that the Springtime training group is going well.

Social Report – Robin Hill
Nothing new to report.

Prior to the end of the meeting, Judy Alexander announced that Sean and Mandy Hudson would take over as directors of the Springtime 10k/5k/1 mile race in 2014.  Felton Wright, Club President, agreed to their appointment and the board expressed its support.

There being no further business to discuss; a motion to adjourn was made, seconded, and passed at 8:16 p.m.
