Minutes of the March 11, 2015 Hosted by David Yon

Present: Tony Guillen, Lisa Unger, Nancy Stedman, Felton Wright, Herb Wills, Tom Perkins, Ann Bowman, David Yon, Bill Lott, Eric Godin, Jon Manry, Mark Priddy, Bill Hillison, Katie Sherron, Mike Burns, Peg Griffin, Jay Silvanima, Jane Skalski, Bobby York, Eric Mason

Tony Guillen called the meeting to order at 7:33 p.m. Quorum was established.

The board reviewed the February minutes. Motion to approve was made, motion passed. New Business:

Bill Hillison – The Turkey Trot Timing (TTT) Committee, made up of Bill, Bill Lott, Peg Griffin, Sean Hudson, David Yon, and Mike Burns, determined that in order for GWTC to time Turkey Trot itself, there would be a need of the purchase of two more readers along with necessary items with said readers at a cost of $30,000 to $35,000. After much discussion, a motion to proceed with the purchase was made, seconded, and approved. There was a second motion made that the funds come from the general revenue account rather than the equipment replacement fund, which was seconded and approved.

Jay Silvanima & Nancy Stedman – Wrap up of the 2015 marathon & half marathon. Total expenses for the race, including an expense estimated to be $200 that has not been finalized yet, were $52,732.69. Total revenue was $74,714.27. The net proceeds will be approximately

$21,981.58, half of which will be donated to The American Lung Association of Florida. Feedback from the participant survey was largely positive.

Jon Manry & Eric Godin – Proposed budget for the 2016 marathon & half marathon.

Estimated revenue assuming 1750 half marathon registrants, 750 full marathon registrants, grants and sponsorships is $186,675. Estimated expenses are $167,600. This would result in net proceeds of $19,075. After much discussion, a motion was made to approve the amount of

$10,000 to start advertising and for other immediate needs. Motion was seconded and approved.

Tom Perkins – What had been the city track meet is now the Big Bend Track Meet. Shirts are being done away with. Proposed budget to cover medals and 1st overall awards was $663.

Motion was made to approve the budget, seconded, and approved.

Felton Wright – The city would like to partner with GWTC to expand the SMIRF (Summer Months Include Running Fun) program. It would be held again at Meridian Park and additionally held at Jack McLean or another nearby park. City of Tallahassee requested grants in the amount of up to $3,000 per program to hire coaches as needed. Motion was made to approve the grants for each SMIRF program, seconded, and approved.

Treasurer’s Report – Katie Sherron

There is $68,969.90 in the Club’s Operating account, which includes $28,359 for asset replacement. There is $14,927.56 in the Events 1 account, $4,170.54 in the Events 2 account,

$50,351 in the Investment account, $11,556.99 in the Chenoweth account, and $13,261.38 in the Tri Club account. This totals approximately $162,800.

Membership Report – Mark Priddy

Current GWTC membership is up 113 members from last month at 1254 members in 532 households. The Tri Club membership is currently 265 members, up 31 from last month.

Race Director Coordinator Report – Charlie Yates

No report.

Newsletter Report – Nancy Stedman for Fred Deckert

Nothing new to report.

Clothing Coordinator Report – Jane Skalski

In the process of ordering new singlets. Member survey to come.

Equipment Report – Bill Lott

Vicky Droze ordered 5 new megaphones. A clock case was repaired.

 

Website Committee Report – David Yon

Nothing new.

Chenoweth Fund Report – David Yon

The Wakulla H.S. cross country race requested $500 to help fund the race, primarily for scoring. Motion was made to grant the request, seconded, and approved.

Triathlete Report – Ann Bowman for Jeff Bowman

Open water swim on Sunday at Maclay Gardens, also with a run.

Lecture Series Report – Nancy Stedman for Paul Guyas

Thursday 3/12 there will be a movie night featuring “The Long Green Line,” at the Parlay Sports Bar in Midtown, 7 – 9 p.m.

Training Report – Beth Alexander

No report from Beth. However, Eric Godin stated a new GWTC training group for developing distance running requested $100 for expenses (gatorade, cups). Motion was made to grant the request, seconded, and approved.

Social Report – Eric Godin

There will be a St. Patty’s Day run in Southwood. Other:

Bobby York – Wrap up of the Swamp Forest race. There was $1,290 in net proceeds. Half will be donated to the benefitting charity, Friends of our Parks.

Bobby York – Proposed budget for the 2015 GW Summer Trail Series. Estimated income of

$9,050, estimated expenses & fees of $7,009, resulting in estimated proceeds of $2,041. Motion to approve budget made, seconded, and approved.

9:30 p.m., Motion to adjourn was made, seconded, and approved.
