GULF WINDS TRACK CLUB Minutes

Voting Members Present: Jerry McDaniel, Allen Blay, Jeanne O’Kon, Peg Griffin, Hawthorne Hay, Tom Perkins, Mark Priddy, Matt Vermeer, Jennifer Hay, Herb Wills. Absent: Debbie Peters, Mary Jean Yon, David Yon, Emily Webster, Tina Bahmer. Non-Voting Members Present: Bill Lott, Robert Skrob, Carter Hay, Bill Hillison.

Opening and Introduction:

Jerry McDaniel opened the meeting at 7:03 p.m. A motion was made to approve the minutes of the March 12, 2025 meeting. Motion was seconded and passed.

Announcements from Officers:

Peg announced that the Palace Saloon 5K is setting a record this year with the highest registration number ever—over 2100 right now with a few more days of registration left.

Old Business/Race Closeouts:

ARP Contribution: Jerry spoke to Amanda Heidecker about the bridge that will be built at the ARP. He will talk to her further about what exactly will be built and whether or not GWTC will make a donation.

Bowlegs Run For Scholarship 5K Budget Closeout: Bill Hillison presented the budget closeout for the Bowlegs 5K. The revenues were $4,149.73, and expenses were $1,388.93, for a net revenue totaling $2,760.80. Donations of $202 were made to the Faculty and Friends Club . A motion to approve the closeout was passed unanimously to award 100% of the net proceeds to the Faculty and Friends Club, for a total payment to the club of $2,962.80. Motion was seconded and passed. Bill explained that some students receive a $1,000 scholarship and for others, it is based on need.

Springtime 10K/5K/1m Budget Closeout: Not yet ready. The race was highly successful this year with 2102 registrants.

Tallahassee Marathon/Half Marathon 2025 Budget Closeout: Robert Skrob reported that the Marathon raised about $57,000. The cost of police officers on the course has increased for all the races. The RRCA designated it as their state marathon competition. Geb Kiros felt that a donation to RRCA of $200 would be prudent. They want to make donations to Second Harvest, Sportsability, Leon County Parks, and Friends of Our Parks. Geb also supports propagating the Youth Running program. The Board withheld approval on this item until further details are provided. Motion was made and seconded to approve the budget closeout. Motion passed.

New Business:

Tallahassee Marathon/Half Marathon Budget Proposal 2026: Robert Skrob indicated that he and Kory would like to be the race directors for the 2026 Marathon on 2-8-26. They are planning the budget for next year, and want to include additional funding for clothing sales. Hopefully Bank of America will be a sponsor again in 2026. Robert will review the sponsorship pricing as it exists because it should be increased. Motion was made and seconded to approve the budget proposal. Motion passed.

Summer Trail Series 2025 Budget Proposal: Peg Griffin reported for Bobby York. The proposed budget anticipates revenues of $12,100.00, and expenses of $10,093.00, for a net profit of $2,007.00. A motion was made and seconded to approve the budget proposal. Motion passed.

Paul Hoover Memorial Freedom 5K: Jerry McDaniel stated that 2025 will be the final year for the race. The race typically clears $5,000 after expenses, primarily from sponsors. Jerry was approached to see if GWTC was interested in taking the race over. The majority of board members felt that the club should not adopt it as a club race. Jerry will inform the previous race directors.

Fleet Foot Managing Editor Budget Request: Robert Skrob indicated that taking on the Marathon would make it difficult to continue putting together the Fleet Foot newsletter every month. He suggested that the club hire a Managing Editor who works on the newsletter, with a budget of $1,000 for the remainder of 2025. Board members also discussed whether or not it should remain as a volunteer position. A motion was made and seconded to hire a Managing Editor for the remainder of the year for $1,000.00. Motion passed. Robert described the types of outreach he has done to get material for the Fleet Foot.

IT Position Training: Matt Hohmeister has agreed to be the IT Coordinator. Part of his responsibilities will be to work with RunSignUp. He will help race directors work with RunSignUp. Jerry suggested that Matt attend a conference being offered in Nashville and he asked Board members to approve $750 for Matt to travel to the conference. Motion was made and seconded to approve this expenditure. Motion passed.

Reports:

Treasurer’s Report: Peg reported as of March 31, 2025, net assets are $300,278.18. There is $198,541.01 in the operations account, of which $14,415.86 is reserved for the ACT (A Community Thrives) Grant program. Net revenue as of March 31 is $42,655.50.

Triathlete Club: Matt Vermeer will report on the Duathlon budget at the March meeting. The Tri Club members had a practice swim in Lake Hall recently.

Director of Race Directors: No report.

Director of Communications: Jennifer reported that she is ordering a new GWTC shirt, including a performance shirt. She is also working on car magnets. She is continuing to work on the website and the use of Instagram. Jennifer also mentioned the phishing e-mails some people are receiving from Jerry’s account. Board members will ask Matt Hohmeister to look at this.

Membership Numbers: There are currently 1324 individual members (1280 last year at this time) and 753 family memberships (728 last year at this time).

Director of Education and Socials: No report.

RACER Committee: No report. g Chenoweth Fund: No report.

Merchandise: No report.

Equipment: At last month’s meeting, Bill Lott reported that the batteries in a Chronomix and the small, one-side flip-digit clock needed replacing. The Chronomix battery was replaced at a cost of $4.99, and the batteries in the small, one-sided flip digit clock were replaced at a cost of $43.98. A rain cover for a large, two-sided flip-digit clock was purchased for $119.20. There are now rain covers for all of the clocks. One of the LED-digit clocks quit working at the Springtime 10K/5K/1m race after about 1 hour and 3 minutes. The power was turned off and then right back on and the clock restarted. It ran for about 30 minutes before stopping again at which time it was turned off as it was near the end of the races and another clock was running on the other side of the finish line. The clock seems to be working fine now and Bill has not yet determined what caused it to quit during the race.

Chip Timing: Bill Lott reported that during March, one non-Club race (Shamrock Scurry 5K/1M) and two Club races (Bowlegs 5K Run for Scholarship; and Springtime 10K/5K/1M) were chip timed. In April, one non-Club race (Cornerstone Learning Community Hawk Run Jubilee 5K/1M) and one Club race (Palace Saloon 5K) will be chip timed. Scheduled to be chip timed in May are two non-Club races (Tails and Trails Half Marathon/10K/5K/1M; and NeSmith Way 5K) and one Club race (Summer Trail Series Race #1). The chip timing revenue from non-Club races held since July 2024 totals $4,031.00.

Grand Prix: Lisa Unger sent a report saying that all Grand Prix races have been scored up to this point. The next Grand Prix race is the Palace Saloon 5K.

School Grants Coordinator: Amy will contact the Title One schools to see if they would like to apply for the school grants for the coming year.

Training Groups Coordinator: Jennifer reported that Emily suggested Oology Northside as a meeting place, perhaps every other month.
