GULF WINDS TRACK CLUB Minutes

of the October 13, 2010 Board Meeting Hosted by Seeley Gutierrez

Present: Vicky Verano, Judy Alexander, Jackie McDaniel, Linda Vannoy, Reid Vannoy, Seeley Gutierrez, Jerry Chesnutt, Mary Jean Yon, Felton Wright, Bob Macdonald, David Yon, Herb Wills, Mark Priddy, Bill Lott, and Tom Perkins

Judy Alexander called the meeting to order at 7:31 p.m. Quorum was established.

The Board reviewed the September minutes. A motion was made, seconded and passed by unanimous vote to accept the minutes as presented.

New Business

Reid and Linda Vannoy presented the proposed budget for the GWTC 10M/5M Challenge. They announced that the course has been moved and the race will start and finish at Hawks Rise Elementary School. A motion was made to approve the budget as presented, seconded, and approved by unanimous vote. Reid noted that he had not included the fee to have the course certified. The motion was amended to allow the certification fee to be included in the proposed budget, seconded, and approved by unanimous vote.

Seeley Gutierrez presented the proposed budget for the Ultra 50K/50M in Peg and Gary Griffin’s absence. A motion was made to approve the proposed budget as presented, seconded, and approved by unanimous vote.

Vicky Verano shared some concerns with the Board about equipment rental for races. In order to improve this process, everyone, including club race directors, will be required to reserve equipment, complete an equipment rental form and contact her prior to removing equipment from the storage unit. Following this protocol will ensure that equipment is accounted for and will be available for upcoming races when it has been previously reserved by race directors. Vicky will be contacting all club race directors to notify them of this requirement.

Mark Priddy discussed with the Board the need to exempt the Flash 12K from the Grand Prix requirement of course certification for 2011. Grand Prix races that are road races (not dirt or trail races) are required to be certified in order to be eligible for the Grand Prix circuit. Due to the St. Marks Trail renovations, the Flash 12K will be moved in 2011 to a different part of the trail and will return to the original course in 2012. The temporary course will be wheel measured for accuracy. Mark requested an exemption for 2011, and reminded us that the original course will need to be recertified in 2012 after the St. Marks Trail renovations are completed. There was a motion to approve his request, pursuant to approval by the Grand Prix Committee. The motion was seconded, and approved by unanimous vote.

Mary Jean Yon presented the final election slate for 2011 officers to the Board. All ballots will be mailed to track club members and must be returned, postmarked by November 5, 2010.

Lisa Unger reported through an email that the Tallahassee Women’s Distance Festival netted over $1900. The Board previously agreed to donate $500 of the proceeds to the TMH Foundation.

Treasurer’s Report – Jerry Chesnutt
There is $20,599 in the Club’s checking account, and $77,411 in a certificate of deposit. The Chenoweth Fund has $11,220 and the Tri Club has $5,600.

Membership Report –Mark Priddy
The Club has 1,381 members in 769 households including 102 new members in 88 households this month.

Race Director Coordinator Report – Jackie McDaniel for Charlie Yates
Charlie is working on the 2011 calendar. He is still receiving change requests for the 2010 calendar.

Newsletter Report –Jackie McDaniel for Fred Deckert
No report.

Clothing Coordinator Report –Jackie McDaniel for Margarete Deckert
No report.

Equipment Report – Vicky Verano
Vicky reports that she is busy with many equipment rentals this month.

Website Report – David Yon
It was posted on the website that some upcoming club races will be using RaceIt.com for race registration.

Chenoweth Fund Report – David Yon
None.

Triathlon Report – Robert Macdonald
Bob reported that the Tri Club has approximately 280 members. Approximately 50 to 60 members attend the monthly meetings held the third Monday at MoMo’s Restaurant.

Lecture Series Report –Jackie McDaniel for Nancy Stedman
The talk given last month by Gary Griffin and Jack McDermott on marathon and ultra training was enjoyed by all. Also enjoyed by everyone was the movie, “The Spirit of the Marathon”.

Training Report –Judy Alexander for Julie Clark
There are a record 97 members in the 2010 beginning running group. There were 51 in 2009. Robin Borschel and T.J. Cutchins will coach it again next year.

Social Coordinator Report – Kathy Lindsay
No report.

There being no further business to discuss, a motion to adjourn was made, seconded and passed unanimously at 8:31 p.m.
