GULF WINDS TRACK CLUB Minutes

Voting Members Present: Jerry McDaniel, Jennifer Hay, Jeanne O’Kon, Peg Griffin, Mark Tombrink, Mark Priddy, Allen Blay, Jo Lena Pace, Tom Perkins, Chris O’Kelley, Judy Alexander, Debbie Peters, Lisa Unger. Voting Members Absent: Robert Skrob, Eric Trombley, Mary Jean Yon, David Yon. Non-Voting Members Present: Bill Lott.

I.                    Opening and Introduction:

Jerry McDaniel opened the meeting at 7:03 p.m. A motion was made to approve the minutes of the October 11, 2023 meeting, Motion was seconded and passed.

II.                  Old Business:

 a. Pine Run 20K Budget Closeout: Carter Hay reported that there were 158 runners with 177 The Net Revenue was $2387.53. Of that amount, $585 was donated to Tall Timbers. There was an additional $615.00 in direct donations from RunSignUp, plus an additional donation check from a runner for $200. The amount going to GWTC is $1,772.53. Motion was made and seconded to approve the budget closeout. Motion passed.

b. Election Report: Mark Priddy sent the election results to Board Members by e-mail. There was a 30% return of those ballots sent out. A few issues arose, including the way the program is set up to make sure the person voting submits a vote for every office, even where someone is running Mark stated that family ballots closed out after one person voted. Those issues will be fixed next year. Each member who is running should provide a brief biography and picture in advance of the election. Board members appreciated Mark’s work on the election. The results can be posted in the Fleet Foot and on the GWTC Facebook page. Club members will be sent an e-mail through RunSignUp.

c. Miller Landing Madness Follow Up: Bill Lott reported that an additional expense of $17.00 was not included in the final budget closeout, and the invoice just arrived for that. Peg will change that in the budget.

III.                New Business:

a. Capital Region Transportation Planning Agency: Jerry reported that this agency prioritizes transportation projects in this region. They are applying for some funding for the SUN Trail and several trail projects supporting cyclists and Jerry will provide them with a letter of support from GWTC for their funding request to DOT.

b. Club Nationals Budget: Judy Alexander reported on the need for additional funding for the USATF Club Nationals. She listed the members who have already registered, and there is only one full team so far. Members of a team must wear a team singlet. The registration procedures are somewhat difficult. It costs $45 to enter the race and $55 to become an USATF member. Additional funds are needed to singlets for the runners ($23 for men and $30 for women). The subtotal right for 38 singlets now is $3526. She asked for a total of $4,000. to buy and print the singlets. Motion was made and seconded to approve this amount for the budget. Motion passed.

c. Bowlegs 5K Budget Proposal: Bill Hillison provided a budget proposal for the Billy Bowlegs 5K on January 27, 2024. The anticipated revenue is $2700.00. The Net Revenue is expected to be about $1275.00. This race is a fundraiser for scholarships from Friends and Faculty of FSU. FSU provides the medical workers, so the ambulance cost is not needed in the Motion to approve was made and seconded. Motion passed.

d. Extreme Challenge 2024: Mark Tombrink explained that this involves completing all the Club races in the calendar year (a total of 22 races). He would like to offer this again in 2024 and requested $300 for the Challenge. Motion to approve was made and seconded. Motion passed.

e. Tuesday Intervals: Bill Lott stated that Tuesday Intervals have not been held at FSU because the track is being The public will not be permitted to use the track when the work is finished. Cascades Park may be a new possible location. Maclay School track cannot be used because they are now charging $125 per track use. Jerry will provide more information in December about the possibility of using Holy Comforter’s track.

f. GWTC Check Stubs: Bill Lott became a check-signer for GWTC in 2017. He leaves one stub with the checks, and the second one gets Bill wanted to know if he can shred them after keeping them for one year. Board members agreed that they can be shredded after one year.

g. City of Tallahassee Annual Employee Appreciation Day on Nov. 16: The City of Tallahassee holds a day for about 750 city employees, where they have games, activities, and other events. It will be held at Messer Field from 8:00-1:00. Jerry will set up a table and needs some assistance.

h. Tallahassee Ultradistance Classic: Jack McDermott asked Mark Priddy to ask for volunteers for the Board members suggested that a “Call for Volunteers” be put on the Club Facebook page. Board members also suggested that race directors use RunSignUp to e-mail all past volunteers to request help.

IV.   Announcements from Officers:

 Lisa Unger showed a “Thank You” card that was produced by the students at Gretchen Everhart School, thanking club members for helping with the Owl Run.

V.                 Reports

 a. Treasurer: Peg Griffin reported that the 990 form has been filed. The total club assets as of Oct. 31 are $220,304.78. The Net Loss for July-October 2023 is $3,050.91. There is a new report called “Budget vs. Actual” that is now being sent out to Board members by e-mail with the Board meeting documents. Robert Skrob has suggested putting the Full Annual Budget in the newsletter in the month of January.

b. Triathlete Club: Kory Skrob reported that the new kits have been ordered for next There are several sponsors helping with the cost. About 10-15 members completed the Ironman Florida event last weekend. The Holiday Party is Dec. 11 at the Hub at Feather Oaks. Beverly Harrell will be the new Tri Club president.

c. Race Director Coordinator: No Report

d. Newsletter: Nov. 20 is the upcoming deadline for the Fleet Foot.

e. Membership: Jo Lena Pace reported that the current number of members is 1253 (1293 last year at this time ) The current number of households is 714 (708 last year at this time).

f. Diversity, Equity, Inclusion: Gabrielle Gabrielli sent a report stating the three of the five events with the IRC children have been held at Cascades Park. There is an excellent group of volunteers, and the weather has been great. Danny Manausa added that GWTC is truly comprised of some great people!

g. Education and Lecture: Mark Tombrink reported that the last lecture was presented by Dr. Brian Burnett. He was very knowledgeable and made a great presentation on preventing and treating sports Only five people attended. Using more avenues of social media would be helpful to increase attendance. Jerry suggested getting someone to assist Mark in developing better advertising for the Lecture events, and possibly pairing them with a social event or a post-run social.

h. Website: No Report

i. Chenoweth Fund: No Report

j. Merchandise: Debbie Peters will be helping to sell merchandise at the Turkey Trot.

k. Equipment: No equipment issues to report

l. Chip Timing: Bill Lott reported that In October, the only race chip timed was the Club’s Pine Run During November, two non-Club races, Brewtallaty Offroad Duathlon and Veterans Day 5K, and one Club race, Tallahassee Turkey Trot 15K/10K/5K/1M, will be chip timed. For December, only three Club races, GWTC 10M & 5M Challenge, Tallahassee Ultra Distance Classic 50M/50K/Marathon, are scheduled to be chip timed.

m. Grand Prix: Lisa Unger presented a proposed Grand Prix race schedule for It includes one marathon, one half-marathon, one 20K, one 15K, two 10Ks, two 6Ks, one 4-mile, six 5Ks, one 1-Mile event (16 total). The schedule was discussed by Board members. The Youth Grand Prix schedule will be reviewed at the December meeting. Motion was made and seconded to approve the Grand Prix schedule. Motion passed.

n. Social: Tina Bahmer reported that the Christmas party will be on Dec. 16th at Shiloh Farms. The Annual Awards meeting will take place in January, possibly on 19 or 21. She will recruit volunteers to help with the events.
